L P 12- Millennium Steering Committee January 7, 1998 Meeting # 1 The meeting was convened at 6:14 PM In the Berger Room at Town Hall. In attendance: Anna Carroll Foulds, Alan Foulds, Karen Sawyer, Alan Smith, Steve Crook, Mary Williams. Dick Stosez had previously informed the chairman that he would not be in attendance. Business 1. Chairman Anna Carroll Foulds welcomed the committee members and introduced each one as follows: Anna Carroll Foulds - Chaired "Jubileve" during the 350th celebration, Owns and operates "The Hot Spot in Reading". Alan Foulds - Chaired Reading's 350th, current Town Moderator, wrote parts of At Wood End. Karen Sawyer - Provided Channel 3 coverage of Reading's 350th, former host of "Community Exchange", current host of "Ask the Town Manager". Alan Smith - rebuilt sign at "Imagination Station", worked on several school plays. Steve Crook - Town Meeting Member, 16 time volunteer at Boston's "First Night". Mary Williams - Member of Reading's 350th Steering Committee, current school committee member, current Celebration Trust member. Handled publicity for Reading's 350th. Dick Stosez - Longtime postal service employee in Reading. 2. The Chairman reviewed the background of the Millennium Party and the events that preceded it: ❑ Celebration in 1900 ❑ "Times Sq. On The Common" 1970 ❑ Reading's 350th 1994 ❑ Board of Selectmen created the committee in 1997 3. The Chairman reviewed the committee structure, explaining that we would need to elect a Clerk and to appoint several other positions. 4. On a motion by Anna Carroll Foulds and seconded by Steve Crook, Alan Foulds was elected clerk by a vote of 4 - 0. Assignments were made as follows: Written Communication Coordinator Mary Williams This person will handle publicity through newspapers such as the Chronicle and the Globe. The person will also act as liaison to a program committee. Electronic Communication Coordinator Karen Sawyer This person will handle publicity through cable and the web. Finance coordinator Steve Crook This person will act as a budget watchdog, act as liaison to fund raising events, and coordinate button sales. Technical Requirements Coordinator Alan Smith This person will act as liaison to town departments and coordinated technical needs. Exposition Liaison Dick Stosez Video/Book Liaison and Chairman Alan Foulds "Around The Clock" Liaison Anna Carroll Foulds Ball Liaison Mary Williams "After Midnight" Liaison Alan Smith Corporation Liaison Anna Carroll Foulds Breakfasts Liaison Open 5. On a motion made by Alan Foulds it was voted that the Chairman be authorized to take whatever steps necessary to establish a non-profit corporation for the purpose of raising and expending funds for a millennium celebration, organized by Reading's Millennium Steering Committee. It was seconded by Alan Smith and carried 5 - 0. 6. On a motion by Alan Foulds it was voted that the corporation established for such purpose be authorized to apply to the Celebration Committee (350th Celebration Trust) for funds. It was seconded by Karen Sawyer and carried 5 - 0. 7. It was decided to schedule Steering Committee meetings on the first Wednesday of each month at 7 PM. The meeting was adjourned at 7:54 PM. to February 4, 1998.
