HomeMy WebLinkAbout1989-10-19 Celebration Trust Committee MinutesMinutes of the Fifth Meeting of Reading's 350th Anniversary Celebration Steering Committee October 19, 1989, Thursday Board Room Reading Public Library Committee Members Attending: Edward Palmer, Shirley Buzderewicz, Susan Flannery, Alan Foulds, Susan Horn, Paul Sweeney. [Everett Blodgett, Susan Theophanis and Susan Wheltle were absent.] Also Attending: Arnold Berger, Ray Couture (legal counsel) I. CALL TO ORDER The Meeting was called to order by Ed Palmer at 7:45 PM. II. POLICIES AND PROCEDURES OF THE COMMITTEE I- A. Minutes and Agenda: Susan Flannery will prepare the Agenda and Susan Horn will provide the Minutes and both will be mailed together through Jonathan Edwards office (Town Planner), under whose jurisdiction this Steering Committee falls. Minutes will go to all Steering Committee members, Ray Couture (legal counsel), Arnold Berger (benefactor), the Town Planner's office, the Selectmen's Office and the Reading Public Library. Anyone not on the Committee whose specific task commissioned by the Committee is spelled out in a particular set of Minutes shall also receive a copy of those Minutes. B. Open Meeting Law Posting Susan Flannery will post the meeting at least 48 hours in advance of the meeting (as required by the Open Meeting Law) with the Town Clerk. With this posting will be an Agenda. If possible, she will post it the previous Thursday in order for the DAILY CHRONICLE to pick it up in their weekly calendar. C. Budget for Town Meeting We should submit a line item to Town Meeting as a budget for the operation of this Committee. Currently, we are drawing from a General Administrative Fund. A report will be expected at spring Town Meeting from this Committee as well as something for the Annual Town Report. D. Mailing Address The Steering Committee letterhead reads 1116 Lowell Street" 2 - Steering Committee 10/19/89 (The Town Hall). In order to separate the-350th Fund Raising Corporation (which uses P.O. Box 1994) we should continue to use 16 Lowell Street for all Steering Committee correspon- dence. III. REPORTS A. Minutes of the September, 1989 Meeting VOTED: To accept the Minutes of the last meeting. B. Report of the 350thz_ Inc. For informational purposes, the 350th Fund Raising Corporation has a balance of $1171.41 with activity today that brings the balance to $1486.41. C. Logo Contest Susan Wheltle was unable to attend but sent a letter bringing us up to date on the logo contest. Next Tuesday the Board of Selectmen will consider whether or not contestants may use the town seal as part.of the logo. The Town Manager has indicated that if they allow entrants to use the seal it should be used in it's entirety. The Selectmen should be assured that once designed, the logo will be controlled exclusively by the Steering Committee and not doled out to other parties for use. Once approved the Press Release will go out, hopefully, November 1, 1989. The deadline for entries will be January 19, 1990. Entry Forms will be available through the Library, Town Hall and our Committee (Susan Horn will have the entry forms). A jury of people from outside Reading (designers and historians) will judge the contest. A $100 prize will be awarded. (Attached is a copy of the Press Release and Entry Blank.) [8:15 Ray Couture and Arnold Berger left.] IV. CORRESPONDENCE A. Letter To The Editor Susan Flannery will write another thank you letter to the editor thanking the most recent donors. B. Cities and Towns Ed distributed and reviewed various budgets we have received from other cities and towns who have had celebrations. At 3 Steering Committee October 19, 1989 the time of the next meeting he will provide the Steering Committee with a complete list of possible events and average cost or cost ranges. During the upcoming weeks he will attempt to contact budget people in the towns and cities we have not heard from so we will have even more information. We will then decide what we want to tackle. Alan Foulds has slides of the Lynnfield celebration he has offered to share with us. V. IDEAS RELATING TO OUR CELEBRATION A. Souvenirs Ed received a brochure from the Sandwich glass place that makes commemorative glass medallion plates. Something to consider. B. Time Frame 1. WE NEED A PLAN FOR 1994 We ought to look at our time frame at the next meeting. Founders Day will be May 29, 1994 (Sunday). Susan Flannery suggested the school year 1993-1994 be used to increase awareness of Reading history through the schools. 2. FOUNDERS DAY WEEKEND Ed Palmer would like to see the parade take place the weekend in which Founders Day falls on Saturday, May 28, 1994. Susan Horn had serious reservations about having the 350th parade the weekend of Memorial Day because of conflict with the traditional Memorial Day parade. She feels the Reading population will not turn out for two parades, not to mention the participants. 3. SEPTEMBER 9 What about using September 9th date? Ed felt the high school bands aren't organized then. Susan Horn disagreed stating that bands are usually practicing in August and might welcome a chance to show themselves off early without the complexity of football formations. 4 - Steering Committee October 19, 1989 4. TWO WEEKS BEFORE OR AFTER FOUNDERS DAY Another suggestion was to start two weeks before Memorial Day Weekend and extend the celebration in.June, climaxing the whole schedule with the parade. Under this plan the schedule might look like this: May 21, Sat. Pops Concert May 27, Fri. Colonial Ball May 29, Sun. Founders Sunday (churches) June 3, Fri. Alumni Night RMHS June 4, Sat. Parade (we should check high school graduation) C. Activities 1. MOUNT RUSHMORE FLAG . The Mount Rushmore flag is something we still d_on't know much about. Sudbury used it and tell us it must be reserved through the Department of the Interior 12-18 months in advance. It is stored on the USS Constitution. Paul will contact Ray Couture about details. 2. FOUNDERS Are there any decendants of our original founders? Can Everett Blodgett answer this? 3. COLONIAL BALL Many people have expressed interest in a Ball. At former celebrations it has been held at Camp Curtis Guild. Sturbridge should have good information on their Ball..When we discuss this we should invite Bob Briere who worked on Sturbridge's 250th to come talk with us. 4. POPS CONCERT This might be able to be an evening of Reading composers. "Commandery March" was written by a Readingite. A piece of jazz music called "RHS" was written by the director of music at the Univ. of Maine. As well as the piece that will be written for the 350th. A "real" Pops concert with champagne, etc. can't be held in the high school. Where? The new hotel (if it's built)?? Camp Curtis Guild?? TASC's Dining Room for staff?? 5. PARADE Assuming we decide to use a "time-line" format for the parade, Ed will be taking reservations for the chronological slots. Businesses, clubs or organizations can reserve slots in the parade with a donation of $350. - 5 - Steering Committee October 19, 1989 VI. Special Town of Reading Events Reading at the Red Sox Reading at the Pops Reading at the Nutcracker Susan Flannery said there is no problem with the fact that the Library does the Pops and Nutcracker as it is not a money maker for them. C. Annual November Trip to the Outlets We could set it up ourselves. (Fall.River or Maine Seacoast) D. 3 minute 50 second merchandise spree Atlantic, Cerretani's, Wayside Bazaar, CVS, Brooks Drug, etc. Raffle off tickets. C. Quarterly Newsletter to Donors D. Horn Secretary Press'Release November 1,1989 Design competition. For the official Reading's 350th Logo r. Attention artists and graphic designers! Reading will celebrate its 350th anniversary in 1994. The Reading 350th Commission invites you to create an expressive design to be used as the official logo on stationery, signage, and all commemorative items associated with the event. The winning entry will receive a prize of $100, and all entries will be exhibited in the Reading Public Library. The deadline for submitting work is January 19, 1990. All submissions must be in black and white, and no larger than 8" x 8". They must include the words "Reading, Massachusetts," and the dates 111644" and 111994". Artists may use other imagery which graphically expresses the history and character of the town, including the town seal in its entirety. Submissions must be clearly marked on the back with the artist's name, address, and phone number, and must be accompanied by an official entry blank. Entries will be judged by a panel of graphic designers and historians, who will recommend a winning selection to the Reading Board of Selectmen. The decision of the panel and the Selectmen will be final. Prime criteria will be the strength of the overall visual design and the appropriateness of the image. The winning entry will become the property of the Reading 350th Commission. Reading's 350th Logo Official Entry Blank Design Competition In 1994 Reading, Massachusetts will celebrate the 350th anniversary of its incorporation. Artists are invited to submit one or more designs suitable as the official logo for use on stationery, signage, and all commemorative items associated with the event. A $100 prize is offered for the winning entry. All submissions must be black line artwork on white paper. Maximum size of the design is 8" x 8". No work containing color or continuous tone photographs will be considered. Submissions must include the words, "Reading, Massachusetts," and the dates "1644" and "1994". Other imagery which graphically expresses the history and character of the town, including the town seal in its entirety, may be incorporated in the design. Submissions must be clearly marked on the back with the artist's name, address and phone number, and must be accompanied by this entry blank. The 350th Commission reserves the right to request changes in an otherwise favorable design, and to withhold the award .should the panel decide that no suitable entry has been received.
