At a meeting of the Board of Directors held on-October 16, 1990, it was: VOTED: To accept the Minutes of the Meeting of the Corporation which was held September 18, 1990. VOTED: To accept the Financial Report showing a balance of $11,077.78. VOTED: Subject to the approval of the Steering Committee with regard to the use of the logo, to produce tee shirts for fund raising purposes. CALL TO ORDER Paul Sweeney called the-meeting to order at 7:08 PM. 11. MINUTES.OF THS PREVIOUS MEETING - September 18, 1990 It was voted to accept the Minutes of the last meeting of the Corporation. Shirley asked whether there is a set limit as to how much money she can pay out. As long as invoices accom pany requests for reimbursement and, in Shirley's judg ement, the request is reasonable, she should be allowed to u se her own judgement. It was voted to accept the Financial Report. V. OLD BUSINESS A. Certificate of Appreciation (Susan Flannery) (This agenda item is covered in the Steering Committee minutes.] S. Up-To-Date Inventory Of Unsold Postcards (Ed Palmer) Ed visited the locations selling our postcards and took in about $110. Four had had no recent sales and Ed picked up the remaining cards from: Dragon Corner Store JoAnn's Variety RFD Ltd. Bell's Barbershop Print Shack Page 4 Reading's 350th, Inc. October 16, 1990 The postcards are still in stock and were accounted for at: M.F. Charles (recently restocked) Winslow's (recently restocked) The Hitching Post Reading Card and Party We do not know what has become of the cards at Ida's Stationhouse Restaurant. He had 15 of each set. Ed now has on hand: 93 of Set #1 and 54 of Set #2, plus those in.stock at Paul Sweeney's house. (Does this include those still out a£ the locations still selling?] Ed plans to put a flyer in Postcard Set #3 indicating that, if an individual wants postcards #1-12, they could send $4.00 to P.O. Box 1994. (This should be $4.50 to cover our return postage to them.] Ed explained that he never told us about, but when the original 1000 sets were printed we lost a few sets while they were being cut. We never have had 1000 packages, but we probably began with 800 to 900 sets. At least 125 or so were lost in the cutting. Some of the cards ruined were of the Legion and Edgerly & Bessom. Ed feels that he could give them what exists and ask for a donation in exchange. VI. NEW BUSINESS A. Fall Fund Raising: Tee Shirts Reading Trophy (Don Wellford) will be able to print purple tee shirts with the logo on the front available for sale by December 1st. Paul gave the breakdown for various quantities. The best price break comes after 150 shirts when they will cost $4.65 each (youth $4.40 each). Susan Theophanis used to be a sportswear buyer and she will figure out the allotment of sizing to order. It was agreed to order 13 dqzen shirts (156). We will sell these at Reading Trophy, Eugene's (Helen Nigro) and, possibly Marshall's (we should send a letter of intent). Other suggestions were the Sports Shop at Lachi's, Harrow's, The Hitching Post, P&S Convenient, a couple of gas stations and maybe the Post Office (we should contact Jack Driscoll). We might also try the school stores and setting up a table in front of Atlantic. It was voted, subject to the approval of the Steering Committee with regard to the use of the logo, to produce tee shirts for fund raising purposes. Page 5 Reading's 350th, Inc. October 16, 1990 The possibility of hats (baseball style) was discussed but put off until a later date. B. Future Fund Raising 1. Star Share This is a program that we have applied for through the Star Market. During three 3-day periods during a year anyone presenting a specifically numbered coupon when their order is rung up will have 5% of that order donated to the 350th. We have not yet been approved but we have applied for three time slots during 1991. 2. Yogel's This program is similar to Star Market. They are located in Woburn (Cummings Office Park) and offer yogurt, bagels and a salad bar, etc. Their fund raiser operates on a Saturday and becomes 10% of that day's take. Killam School is promoting this program currently. We have not yet applied for this. 3. "Selling"-Our Logo Paul presented the idea of selling the use of our logo to various businesses in town with the idea that a portion of the proceeds from the item advertised would come back to us. For instance, Spence Farms might donate $1 for every Christmas tree sold, and they could advertise specifically that in buying a tree you also support the 350th. We could approach various businesses and ask if they would be willing to do this and then take out an ad in the newspaper listing all the businesses that have agreed. 4. Community Calendar with Coupons Paul suggested working with the Reading Photography Club to produce a Community Calendar. Each month would be sponsored by a business who would underwrite the cost of producing that month and a couple of coupons could be attached to the bottom of that month to generate walk-in business for the business. Ed Palmer will gat Paul the name of a contact in the Photography Club. We would aim for a 1993 calendar. 5. Town Flower After Paul's initial brainstorm, Susan Horn spoke with her sister who is a landscape designer. She suggested we first contact our own garden club to see whether anyone is a hybridizer. The type of flower we should look into should be hardy and easy to grow; suitable for mass plantings in both public and private gardens. Then we could blanket the town with whatever is developed and get Town Meeting to adopt it as an official flower. Paul suggested a Reading 350th Dandelionl Reading's 350th, Inc. October 16, 1990 6. Reading Chocolate Bar Palmer Candy Factory. in Reading, PA would might be able to develop a Reading chocolate bar with our logo on it. 7. Windshield Visor These cardboard sun shields could be produced with the logo. The area that punches out around the rear-view mirror could be printed as a coupon from a business that might underwrite the cost of production of these visors. Further, we could go around town and periodically spot a car that is displaying one and award a prize. 8. Travel Mugs The Donut Maker would be willing to subsidize production of these. They would work some deal that anyone coming in with one could get a discounted cup of coffee or maybe a donut. They can't sell them in the shop because they have their own cups, but they'd be willing to work out this kind of arrangement. 9. Tee Shirts with Corporate Logos Our logo would be carried along with the individual corporation's logo (i.e. TASC and the 350th). The company would pay for the shirts to give to their employees showing that the-company supports the 350th. This idea appears to warrant further discussion as there were some concerns voiced about this sort of plan. •10. Magnetic Memo Holder This plastic magnetized container is designed to attach to a refrigerator and holds memo paper and a pen. Our logo could be printed on the front along with the police, fire and poison control telephone numbers [and Community Information number from the library?). C. Then and Now Postcard Set #3 Ed has put.together a Haven Street (Main Street to Railroad Station) set. Ed will pick out the 10 best. They will be numbered and the historical information will come from Virginia Adams. Nancy Smethurst will then do the lettering on her desk top publishing set up. The Print Shack is giving us .a quote for high quality gloss (chromo). The negatives we have are very good, high quality. Ed has approached the businesses that appear on the cards and asked them to subsidize the production costs by making a $35 _ donation so we may have the cost of production covered. Sweeney; Susan Theophanis. :Susan Wheltle was unable to attend.? I. GALL TO ORDER Alan Foulds called the meeting to order at 8:10 PM. In honer of Miriam Barclay, the meeting began with a moment of silence in her memory. Mrs. Barclay passed away can September 29th. II. MINUTES OF PREVIOUS-MEETING - September 18, 1990 VOTED: The Minutes of the September 18, 1990 meeting were approved with the correction of the spelling of Dennis Drearley's last name. III. COMMUNICATIONS A. Post Master General At the_last -meeting Susan Horn reported that she had submitted an idea to the Postmaster General's Citizen Stamp Advisory Committee suggesting they do a series of stamps. of New"England Church Steeples with an emphasis the architecture using, of course, the Old South. The idea has since been rejected. It was Susan's feeling that the reason for rejection was that they want to see finished art work, rather than presentation of an idea. The church steeple theme may still be viable. Susan H. will write to the Citizen Stamp Advisory Committee to find out what specs they require for postage stamp ideas. Ed Palmer will approach Nathalie Nordstrand, an artist, who has offered her services to the 350th. If she is unable to attempt the project, perhaps the Art Association would be able to help. Ev Blodgett pointed out that the idea of a First Day Cover to be issued from Reading is wonderful, but we might want to look into the work involved. Ed Palmer will contact the postal Commemoratives people to ask: about the work: involved. We will also keep Jack: Driscoll, the Reading Postmaster, abreast of our ideas and progress. Paget Steering Committee October 16, 1990 B. Other Communications Judy Burgess has submitted tier name to help with "Home Projects". IV. COMMITTEE REPORTS A. 350th, Ingo (Paul Sweeney, President) 1. Tee Shirt Fund Raiser VOTED: The 350th, Inc. requested permission of the Steering Corfimittee to use the 350th logo on Tee Shirts to be released for sale by December 1st. It was so voted. 2. 1990 Reading Community Carnival Paul Sweeney and Susan Horn attended the wrap-up meeting of the 1990 Reading Community Carnival Committee. They ended up with a net profit of $1,673.21. (The 350tH, Inc. ended up with a net loss of $99.64.) The two fireworks canisters that did not ignite and were "lost" have since been accounted for. B. Parade.FFeasibil.ity Committee (Ed Palmer, liaison) There will be a meeting of the Parade Committee on,. Wednesday, November 14, 1990 7:30 P.M. Berger Room Reading Town Hall Ed Palmer distributed the agenda, which is attached. He has further contacted interested volunteers. 9. eut icity 1. Certificate of Appreciation Susan Flannery produced a Certificate of Appreciation to thank: people who give us particular help. 2. Letterhead/Envelopes Susan Flannery will work these up. Paul Sweeney will give Judith Gabriel a call, out of courtesy, to politely "let her off the hook:". There should be two sets: The 350th, Inc., at P.O. Soy; 1994 and the Steering Committee at 16 Lowell St. 3. Newsletter Flag - This newsletter will go to all donors. We need to think of a catchy name for the newsletter. Business Cards We would like to produce a card with no name can it just the logo and our P.O. 1994 address, for use by anyone needing to approach outside businesses. 5. {Color Printing of All Of The Above After all of the above have been made ready, we will take them to Don Dow at the Graphics Shop and they will all be printed in purple/blue ink:. W NV A-0 Willi art Agles Moui nl ty_, qgTPostr It was the strong feeling.of the Steering Committee that if William Thomas McKinley is commissioned to write a piece of music for the 350th, this should be performed by the Reading Symphony Orchestra and not by outside groups brought in to gain national attention, although a guest performer playing WITH the PASO could be a possibility. Mr. McKinley has been asked to get together with Dan Abbott the director of the RSO, to discuss what can and cannot be done bath musically and financially. We don't want to overtax the RSO. Susan Theophanis suggested that this project might be dedicated to Miriam Barclay. Funds might came from the Arts Lottery, the Massachusetts Council on the Arts and Humanities, corporate funds, and private contributions. Alan Foulds pointed out that we will certainly recoup whatever we put out for this, but the initial outlay is a concern. This will probably cost in the neighborhood of $11,000. We need to know how much the initial outlay will be and WHEN we have to make the commitment. We also discussed places to perform a concert. The idea of having more than one performance on a weekend might be an idea to consider. Susan Theophan i s' s house 86 West Street Page 4 Steering Committee October 16, 1990 About 11 people are planning to attend. Sturbridge is giving us greet help from their experience. Susan Flannery suggested ballroom dancing classes be set up six months ahead 4 of the Ball. The possibility of multiple Balls to provide fund raising was discussed. Susan Flannery also suggested a Dance Marathon to raise money. Places to hold the Ball, types of refreshments and the idea of costumes were discussed. V. OLD BUSINESS A. Basically, we should currently be concentrating can Fund Raising, the Parade, Organization of the Book: and the Ball. VI.
