Berger Room, Reading Town Hall Committee Members in Attendance: Alan Foulds, Chairman, Paul Sweeney, Susan Theophanis, Nancy Smethurst, Ellen Stanton, Shirley Buzderewicz, Everett Blodgett and Cathy Quimby. Also Attending: Ken Latham and Anna Carroll, Directors of 350th, Inc.; Jane McKenzie, Anne Marks, Les and Irene York, Bob Brown, Susan Horn. John Upton was present briefly I. CALL TO ORDER Alan Foulds called the meeting to order at 7:40 p.m. II. MINUTES OF PREVIOUS MEETINGS The minutes of the September 21, 1993 meeting were accepted as read. Acceptance of the minutes of October 5 will be deferred until the next meeting. III. COMMUNICATIONS Anne Marks and Bob Brown from the Solid Waste Committee offered assistance with public education on waste reduction prior to the major events and with trash recycling. The Solid Waste Committee offered to help coordinate this effort with Public Works and the individual event chairmen if the 350th Committee wished. Cathy Quimby has already had preliminary discussions with the Public Works Director to plan logistics and funding for trash pickup. The 350th Committee gladly accepted this generous offer and will communicate with Ms. Marks and Mr. Brown as the plan for the major events becomes finalized. Jane McKenzie, representing an ecumenical choir, offered her group's services for an "Americana" concert and sing along to be held during the 350th celebration. This group would be named the 350th Anniversary Chorus. Proposed performance dates could be Monday evening May 30 (Memorial Day) or June 9. An Arts Lottery Grant application has been filed, but more money will be needed, especially for the use of the hall. The High School auditorium would be the best location for size and acoustics, but the Field House might be a possibility to ac- commodate a larger crowd. Everett Blodgett offered to check the availability of the piano and the RMHS auditorium and/or the field house for the proposed performance and rehearsal dates. On motion of Cathy Quimby, seconded by Susan Theophanis, it was voted that the 350th Committee will fund the remaining cost of this event. John Upton from Channel 3 (Continental Cablevision) reported that cable coverage of the actual events will be extensive, but that the Bulletin Board and other options could be utilized now. A telethon or historical "spots" were also suggested, but major in- put must come from the Committee. Continental will offer techni- cal expertise and advice. Susan Horn outlined plans for an official program guide which would be issued in advance of the celebration, perhaps by May 1. Questions arose as to the how the advertising should be priced and whether or not the book should be sold or given away. Paul Sweeney will be making follow-up calls on some businesses this week and will not quote definite advertising prices because printing cost estimates have not yet been obtained. IV. OTHER BUSINESS Detailed information on the Town Meeting funding article was dis- tributed by Cathy Quimby. Town Meeting will be asked to ap- propriate $9000.00 for 350th expenses to the Town Manager's budget via a line item included in the warrant article which ad- justs the FY94 budget. On motion by Everett Blodgett, seconded by Shirley Buzderewicz, it was voted to support this article in the amount of $9,000. Cathy Quimby will make a presentation to Town Meeting in support of the liquor bylaw change, and the 350th Committee is scheduled to speak on this issue at the November 1st School Committee Meeting. Alan Foulds reported receipt of correspondence regarding selec- tion of an orchestra for the ball and the receipt of a generous donation from a former Readingite. A. Sub-Committee Reports Everett Blodgett reported that the book printing deadline is now November 1, which could still mean delivery by Christmas. The copyright will be filed in the name of the Town of Reading. Most of the loan and donation funds have been deposited and will be used to pay the publication costs. The Parade Committee selected a number of band group contracts to be presented to the 350th Committee for approval. Funds are definitely committed for five and contracts need to be signed by the 350th Inc. Vendor policies must be discussed at the next 350th Committee meeting and the entire vendor rights/exclusivity Page 3 Reading's 350th Steering Committee October 19, 1993 issue needs to be resolved by the first of the year. The Lions Club would also like to meet with the 350th Committee to discuss vendor issues. Jubileve will meet the first week in November and also discuss vendor questions and a food court arrangement. Susan Theophanis reported that the Re-Max Agency could bring in a balloon and give rides for Field Day or Jubileve. Any profits would be turned over to the 350th. The Ball Committee has a number of new committee members and will meet tomorrow evening. The Field House floor is rubber, and remedies will be explored. The Committee is planning an elegant ball which may include an indoor canopy to bring the ceiling lower. The cost and availability of bands is being investigated. Susan Theophanis will call Mr. McKinley regarding including "Reading" in the title of his composition as per the contract. Reading Symphony would like to arrange a photo opportunity with Mr. McKinley prior to their November concert. Opening Day ceremonies will be discussed at next month's meeting. V. CALL TO ORDER Paul Sweeney called the meeting to order at 10:40 p.m. II. MINUTES OF PREVIOUS MEETINGS No minutes were read or approved. The Treasurer reported a cash balance of over $24,000.00. In- cluded was almost $7,000 in Walkathon money. The Treasurer's report was accepted as presented. III. OTHER BUSINESS A. Fund Raisinq On motion of Ken Latham, seconded by Alan Foulds, it was voted that Everett Blodgett be granted the permission to print and mail gift cards if the book cannot be delivered by Christmas. Inventories of souvenir merchandise will be available at the next meeting to enable placing necessary re-orders. No word has been received from Bob McCaffrey on the note paper. On motion of Cathy Quimby, it was voted that parade contracts totaling $9000 be signed for five bands: Stuart Highland Pipe Band, Clan MacPherson Pipes and Drums, Aleppo Temple, Tony Barrie Band, and Boston Gaelic Fire Brigade.
