Berger Room, Reading Town Hall Committee Members in Attendance: Shirley Buzderewicz, Alan Foulds, Everett Blodgett, Mary Williams, Ellen Stanton, Paul Sweeney, and Susan Theophanis Also Attendina: Anna Carroll (350th Inc.) and Marlene Wolfe I. CALL TO ORDER Alan Foulds called the meeting to order at 7:30 p.m. II. MINUTES OF PREVIOUS MEETINGS The minutes of the last meeting were not read, and action was postponed. III. COMMUNICATIONS Paul Sweeney presented information on the Lecture Series that will take place in June: Monday, June 6, Senior Center - Fred Foy, a Reading resident of Hi Ho Silver Fame will be the speaker Tuesday, June 7 - the 1-hour re-enactment of a Town Meeting by Killam School 5th graders presided over by Frank Kyle Wednesday, June 8, High School - Slide presentation of post cards of Reading (Bob Murphy) Thursday, June 9, senior Center - People of Reading Lecture with Frank Kyle, Herb Perry, Lois Bond, Margaret Connors, Henry Murphy Marlene Wolfe presented an outline of the 350th Anniversary Booklet. The format and number of pages was discussed and whether there was time to solicit advertisements from local businesses or should the committee have a book without ads. It was decided to use 16 pages, covering information on all the events with recognitions on each event of sponsors for that event. Alan wanted an informational write up of each event from committee members responsible for that event and he would write them up for the booklet. Anna Carroll will write up Jubileve; Mary Williams - the school participation; and Paul Sweeney - Reading Day. READING'S 350th ANNIVERS (-R ION STEERING COMMITTEE TOWN HALL b 16 LOWELL STREET cd READING, MA 01867 Page 2 Reading's 350th Steering Committee March 9, 1994 Colors and front page layout of the booklet were discussed and white with purple ink was approved with the logo for "Reading's Official 350th Anniversary Celebration Program." Advertising would be one line recognition with a $25.00 fee. Ellen Stanton and her committee will call businesses and Mary discussed putting a 1/2 page ad in the Suburban News asking for participation by business and also to inform the public that this was the only official 350th sale of advertising space being offered. Concern was expressed that the business community was being hit by everyone. The booklet should be out by mid-May and the cost will be $1.00 Votes taken were as follows: 1. Alan Foulds moved that we authorize the Corporation to finance publication of an official souvenir program in an amount not to exceed $4000 with the proceeds of the sponsorships subtracted from the cost. Shirley Buzderewicz seconded this motion and all approved. 2. Everett Blodgett moved that the price of the Anniversary Program be $1.00. Shirley Buzderewicz seconded and all approved. 3. Mary Williams moved that she could spend up to $200 to place an ad in the Suburban News to advertise the souvenir program. Paul Sweeney seconded and the motion was carried. The Committee discussed some kind of 350th recognition on the Common or Town Hall to visually tell people it is here and make aware those who do not read. Alan Foulds will look into the cost of a banner. The Committee was made aware that the Mt. Rushmore flag will not be able to be in Reading and that the Air Force Band was not available for Reading Day. Paul Sweeney presented his Reading Day program and budget. BayBank will be the sole sponsor of Reading Day. They have contributed $5,000. The projected cost of the event was $7,250. There was discussion of what kind of entertainment there would be and concern about what we could offer teen-agers. The Reading High School Band will participate and Dave Bunten will have a RHSB concert the second part of which will be synchronized with the Fireworks. Dave Bunten was most anxious to participate in this program. The Lions would provide sausages and slush. People could bring picnic lunches and no cooking out would be permitted. There could be other food vendors. The R.M. Electric Co. has volunteered to do the lighting. There was discussion on the sound systems and would we need to rent a larger system than what the school has and would Dave Bunten allow us to use it. (continued) Page 3 Reading's 350th Steering Committee March 9, 1994 Paul discussed the fireworks. The display would last 25-30 minutes. The two companies were Rockingham and Atlas. Atlas would have 121% a display of 481 (+21%) fireworks as opposed to Rockingham which would have 383 units. A vote was taken on a motion that Paul Sweeney made: it was moved that the Steering Committee authorize the Corporation to enter into a contract with Atlas Advanced Pyrotechnics for a fireworks display not to exceed $3500 to be performed on June 10, 1994 or June 11, 1994(a rain date). Shirley Buzderewicz seconded all approved. Paul Sweeney moved that the corporation be instructed to accept the Reading Day Budget as stated on March 9,1994 for a projected total cost of $7250. Ellen Stanton seconded and the motion was carried. Everett Blodgett brought the Committee up to date on the Book. There have been 1224 books sold and 171 copies more needed to be sold to fully fund the cost of the books. The book should be going to the publisher by April 1st and be ready for distribution by May 1st. Everett discussed the indexing and cross indexing, the importance of making the book a real historical document. Everett made a motion that as of April 1, 1994, the cost of the book would be $30. It was seconded by Paul and all approved. IV. NEXT MEETING - 7:30 p.m., March 22, 1994 V. CALL TO ORDER Paul Sweeney called the meeting to order at 10:15 p.m. Minutes were waived. II. OTHER BUSINESS Alan Foulds made a motion to approve the steering Committee to enter into a contract with Atlas Advanced Pyrotechnics for a fireworks display not to exceed $3500 to be performed on June 10, 1994 or June 11, 1994 (a rain date). Paul seconded and the motion was carried. Alan Foulds made a motion that the Steering Committee could spend up to $200 on an ad in the Suburban News to advertise the souvenir program. Anna seconded and the motion was carried. Paul Sweeney informed the Committee that the Municipal Light company was willing to present the booth to the Town to be used by Town organizations. Booth staffing for 2 days in April and every Saturday in May was discussed. Jubileve Button - materials on order Mugs & Hats were to be reordered III.
