Berger Room, Reading Town Hall Committee Members in Attendance: Alan Foulds, Everett Blodgett, Mary Williams, Ellen Stanton, Shirley Buzderewicz, Catherine Quimby and Nancy Smethurst. Also Attending: Anna Carroll (350th Inc.) I. CALL TO ORDER Alan Foulds called the meeting to order at 7:40 p.m. II. MINUTES OF PREVIOUS MEETINGS The minutes of the April 5th meeting were approved as read. The minutes of the April 11th were approved as read. III. COMMUNICATIONS Mary reported that unless funding is forthcoming, the special train will not be available. Shirley had spoken with Ann Tisdell about the stamp cachets. The cost of printing envelopes is more than $150. IV. OTHER BUSINESS Vending & Public Safety Issues Cathy will type a memo for Selectmen's meeting this evening once the Steering Committee has developed their proposed vendor regulations for each event. Following discussion of each scheduled event, the consensus was to not allow any vendors along the Parade Route and to not allow mobile food vendors at Jubileve. The YMCA would like to offer drinks, hot dogs and ice cream on Field Day, but through a single vendor (perhaps the Boosters) at a reasonable cost. Reading Day should be restricted to only those vendors approved by the Committee such as the Lions, who would like to have the exclusive rights to sausage and slush. Cathy reported on her discussion with public safety officials. The Senior Center will be required as a command/information center because of communications equipment, but Jubileve has already made plans for the Senior Center, based on an earlier (continued) READING'S 350th ANNIVERSARY CELEBRATION STEERING COMMITTEE TOWN HALL 16 LOWELL S'T'REET d READING, Mfg 01867 Page 2 Reading's 350th Steering Committee April 26, 1994 report that the Town Hall would be the command center. Cathy will ask Public Safety officials if an alternative command center could be used. The Committee felt that all non-350th sports events on Field Day in that area should be canceled by the Town Manager. Haven Street will be closed for the afternoon and evening of June 4. Budget Review We are about $700 in the red, but more revenue is expected so this is a comfortable position for now. Souvenirs Sir Speedy's bill is $4628.79 for 5000 programs, but programs will not be available for May 1. They will be ready for the Symphony Concert, however, on May 7. The re-ordering of sweatshirts and other merchandise will be discussed at next week's meeting. "How Reading Grew Up" will be available for sale on Sunday. Identification Badges Ed Palmer will have printed name badges for committee members and invited guests for Opening Ceremonies. Mary reported on cost estimates from Russell Badge for having committee badges made for volunteers for other events. Schools Coolidge will sell tickets for their musical. Killam School will do four original plays as part of the Lecture Series. Barrows is having the "Petticoat Patriot" make an appearance, and open houses are planned at a number of the schools. Mary reported a possible opportunity for Coolidge to exhibit student work at the American Music Concert. Cathy offered an opportunity to exhibit this work at the September Primary Election. Barrows plant sale distribution will be May 13. Ball Two costume vendors have been contacted for Ball wear: one from Stoneham and one from Templeton (the Stoneham vendor cannot attend May Day). Jubileve Volunteers will be recruited to fill any holes in the program, but some performers may be hired after an evaluation of the variety of act available. Book Everett had the Wakefield Item contract in hand, but it needed a signature from the 350th. The book might be available as early as May 21. On motion of Everett Blodgett, the book order was amended from 2500 to 2600 by a 4-3 vote. Page 3 Reading's 350th Steering Committee April 26, 1994 Cachet In further discussion (see "Communications"), Shirley reported that Ann Tisdell would charge $7.50 per set for a 4-piece cachet set and had offered to return 20% to the 350th. On motion of Mary Williams, it was voted to direct the 350th Chairman to set the percentage of profit to be returned to the Committee at 50%. May Day Mary requested an addition to her budget for printing expenses. On motion of Everett Blodgett, it was voted to add $100 to the previously approved budget of $50 (total $150) for May Day. V.
