Berger Room, Reading Town Hall Committee Members in Attendance: Alan Foulds, Everett Blodgett, Ellen Stanton, Shirley Buzderewicz, Paul Sweeney, Susan Theophanis, Cathy Quimby, and Nancy Smethurst. Also Attending: Anna Carroll (350th Inc.) and Ed Palmer I. CALL TO ORDER Alan Foulds called the meeting to order at 7:35 p.m. II. MINUTES OF PREVIOUS MEETINGS The minutes of May 10 were approved as amended. The minutes of May 17 were approved as read. III. COMMUNICATIONS A check for $100 was received from Town Taxi. The Garden Club donated $100 also, and a check for $300 was received from the Jr. Women's Club. A check for $600 for the Trolley Tour was received from Ed Ciampa of Crest Buick. The Mayor of Reading, England will not be able to attend the opening ceremonies, but has sent greetings. IV. OTHER BUSINESS Budget Review Shirley reported a surplus of $7844 at this time. Opening Ceremonies outside amplification speakers are being tested, and Continental Cable will attempt to broadcast the program live or on a 1/2-hour delay. Little's Business Service is typing the program. Ed estimates that the ceremonies will be completed by 9:00 p.m. The Antiquarian Society has offered a 6 p.m. tour of Parker Tavern for those attending the reception the night before the opening ceremonies. The reception is at 7 p.m. on May 28 at Le Metro Cafe. On motion of Susan Theophanis, it was voted that Ed Palmer be allowed to spend up to $500 for food for the reception on May 28. Bob Silva, he felt that a lot of our public safety concerns will be addressed and no longer require a letter to the Selectmen. Reading Day Pending Committee approval, Paul asked Jack Cairl (as Horace Wadlin) to emcee. The Committee gave full approval and Paul will confirm with Jack. The barbershop group cannot be granted special parking, but they have offered to assemble their own risers and therefore, stage hands will not be needed. Insurance issues will be clarified with the Town Manager and then discussed with Bill Hanley, the sound system contractor. Charlie Peacock has arranged for the firing of the cannon and hopes to have them synchronized to the music. on motion of Shirley Buzderewicz, it was voted to add $300 to the Reading Day Budget to permit hiring of the Barbershop group. Souvenir Outlet Volunteers are available to staff the shop, but arrangements need to be made for the opening and closing of the shop for the next several days until May 28. Shirley, Everett, Anna, and Paul volunteered for duty. A number of the sales outlets are selling well. The new order of mugs will be delivered to the shop tomorrow. Grand Ball Details of the audio system and risers for the band are being worked out. Reading Quest Banners have been made for the parade cars. Jubileve The events list is going to print tomorrow. Volunteers wearing Jubileve visors will help direct people, etc. The light show will be held on the Common. Field Day The committee will be meeting tomorrow to finalize things. Everett checked to help ensure that track repair work would not interfere with scheduled events. The Re-Max balloon will not be available. Book The wrong die was cut for the embossed seal and this has delayed the binding process. If the binder gets the die in time, 1500 books will be delivered to the Library on Friday afternoon.. Distribution of A-I will be on Friday from 5 to 9 and J-Z from 10-2 on Saturday. This was not publicized in the Suburban News, but will be announced in the Chronicle on Thursday if it is certain. The loans will be repaid on or before June 30, 1994 as was previously voted. Page 3 Reading's 350th Steering Committee May 24, 1994 Parade Cathy reported that the Parade Committee requested that an official photograph be taken of every float. Other Joe Cain reported that the tape of the Symphony Concert has come out quite well and that he is completing the finishing touches. Anna reported that Old South requested permission to sell their anniversary souvenirs during the parade and Jubileve, but was discouraged from doing so. Paul distributed the Town Seal/350th lapel buttons which had been previously donated. V. NEXT MEETING(S) - 7:30 p.m., May 31, 1994 Conference Room VI. The street is not scheduled to be closed even though there is some concern about public safety. On motion of Everett Blodgett, seconded by Susan Theophanis, it was voted to recommend to the Town Manager that vendors licenses be issued to organizations providing that they are not competing with the Lions who have been given exclusive rights for sausage and slush. Souvenir Outlet Update Ellen reported on the various locations where merchandise will be sold, and that she will coordinate volunteers to work at the shop. On motion of Paul Sweeney, seconded by Shirley Buzderewicz, it was voted to allow Ellen $30 to purchase separate cash boxes for two vending locations and to permit for starting change for these cash boxes. 300 Souvenir Programs have been sold. How Reading Grew Up appears to be selling. American Music Concert tickets are gone. Grand Ball Representative Torkildsen and Governor Weld may be coming to the Ball as invited guests. Reading Quest The prize will be the key, a visor and possibly an official ride in the parade. Jubileve 42 ants have been booked for free or very little money. The location of the light show (instead of laser) will be determined. Programs will be free and will be available where buttons are sold. Reading Art Association has withdrawn because they cannot use the Senior Center which is required for the police command post. The trolley routes are: up Woburn (side trip to Library) and back; and south on Main to Quannapowitt and back. Field Day The food concession is being discussed with the Boosters who would like to charge their usual prices, but the YMCA would like to provide it at cost. The Boosters will do balloons for kids in black and red, but we must provide stock if we would like purple. They need a visual way of identifying workers (t-shirts) and 50-60 ribbon badges are needed. There is no budget for field day. V. NEXT MEETING(S) - 7:30 p.m., May 17, 1994 VI.
