Millennium Steering Committee
February 3, 1999 Meeting # 12
The meeting was convened at 7:08 PM in the Berger Room at Town Hall.
In attendance: Anna Carroll Foulds, Alan Foulds, Alan Smith, Steve Crook, Dick Stosez, Mary
Williams, and Karen Sawyer. Non-members in attendance: Kathryn Whitenack, a marketing
director and Owen MacDonald of the Chronicle.
Business
1. The minutes of the January 1999 meeting were approved.
Anna (Ace) talked with Beth Klepeis about a minor problem with the $10,000 owed us from the
350"` Celebration trust. The Celebration Committee (350"' celebration trust) must vote to release
the money before we can receive it.
2. Fund Raising
Anna began the discussion by explaining a letter sent out by the 350' Anniversary Committee in
1993 informing businesses and organizations of marketing potentials within the celebration.
Kathryn Whitenack, a marketing director then explained to the committee that we should identify
various opportunities marketing during the Millennium celebration. Discussion ensued
concerning possibilities as part of the "Birch Meadow 2000 party to be held at the field House.
Alan Smith presented concept drawings, which included a "tunnel" of historical pictures leading
into the hall. He explained that this might be a natural place for a town newspaper to get
involved. He also presented pictures of a "Kids Corner" with a Mad Hatter theme, and an area
with re-creations of town landmarks. There is a possibility that storefront sign spots could be
sold to potential advertisers.
Alan Foulds and Anna promised to supply a list of marketing possibilities for "Uptown 2000" to
Kathryn via e-mail.
The committee decided that sponsors would not be permitted to sell products at the events, but
could give away promotional items or products.
3. Food at Birch Meadow
The concepts outlined in Alan Smith's proposed letter to the "Boosters" were adopted. Alan S.
will send the letter after making changes stating that no financial solicitation can be made by that
organization without prior approval from the Steering Committee, and to make it clear that no
alcohol will be permitted during the celebration.
4. T-shirts
Dick Stosez announced that he recorded sales of $1,280 on January 21', 22nd, and 23`d. 98 pieces
were turned over to "PSST" for sale during the town referendum on January 27d`
Dick will put together an order for Reading Trophy, and will inform them that it is needed by the
following Thursday. If it will not be available, the order will not be placed.
The meeting was adjourned at 10:00 PM. to February 22nd, 1999.
