In attendance: Anna Carroll Foulds, Alan Foulds, Dick Stosez, Mary Williams, Mary Hatfield, Karen Sawyer, and Steve Crook. Non-committee members: Karin Samatis. Business 1. Minutes The minutes of July 21'% 1999 were approved. 2. Correspondence Anna (Ace) reported that she received a letter from Priscilla Carter, formerly of Reading, who has agreed to be a "greeter" in the big tent. Ace reported that she sent a letter to most town organizations to inform them of upcoming events, and to ask for volunteers. Ace and Alan Foulds met with the Reading Antiquarian Society to give the Board of that organization, ideas for their involvement. Favorite among the ideas presented is the presentation of an interactive play about a witch trial involving a Reading woman. Ace presented the plans to the Board of Directors of the Chamber of Commerce and asked for support from chamber Board members either financially; through in-kind services or by making their places available for performances. One corporation offered financial support for the tent pending cost estimates. One business offered shop space. Ace was asked to prepare input to the next full chamber newsletter to solicit general members' involvement. 3. Sub-committee reports Uptown 2000 - The American Legion has offered its building as a venue. Ace told the committee about an offer of radio tapes from the 30's and 40's, to be used in "parlors' in the respective venues. The schools will be involved in projects that will be placed in the venues. Initially, the High School has been assigned the "00's" to the "40's". The Middle Schools will take the "50's", and the Elementary Schools will take the "60's" to "90's". Tom O'Connor has tentatively offered his store front (Reading Trophy and Shirt) as a venue. Big Tent on the Common Ace announced that a local business is considering a sponsorship of the tent. If it happens, the name of the business will be contained in the venue name. YMCA - Steve was not able to reach Lorraine Dennis. He may have more luck after the new building has opened, and the staff has more time to spend with him. Written Communication - Mary Williams reported that the Advocate will publish a story next week, the Chronicle will print a rundown of events, and Reading Notes will run a story in the next edition. Industrial Expo - None. Video - Alan Foulds and Phil Rushworth took pictures of photographs in the Historical Commission collection. Phil will create a tape of all pictures and Alan will complete a script. Virginia Adams has also joined the video committee. It is possible that the video can be used in the "00's" venue. Corporation - None. Budget None. Other - None. 4. Fund Raising Activities T-shirts - Dick reported that he deposited $290 in August. He has $285 that will be given to Brenda Smith. We currently have 170 t-shirts, 80 sweat shirts, and 10 hooded sweat shirts on hand. On a motion by Dick, and seconded by Steve, it was voted to direct the Board to allocate $1,300 for 144 sweat shirts. The vote was 6-0-1 Dick will set up a display during the holiday Common lighting on November 28'. He will also look into setting up a table at the Atlantic Supermarket. Poster - None. Celebration Trust - Mary reported that the first installment of the Celebration Trust $15,000 grant is due to us on October I". Sponsorship Marketing - Mary Williams will eliminate the cost of the tent from the sponsorship letter that she is sending out. Other - None. 5. Open Discussion Tent - Mary Hatfield and Karen Sawyer have taken on the responsibility of arranging for the tent on the Common. They will report their at the next meeting. World Clock - Mary Williams will try to arrange for the school to take on the building of the map, as a project. She will see if she can recruit Alan Smith to help. Alan Foulds announced that he purchased a 13' by 8' world map for use in the project. Midnight Celebration - Steve Crook is heading up the implementation of the midnight plans. Dick presented the prices for the glow stick, that may be used to illuminate the Common near midnight. 6" sticks (red, yellow, or green) 100 @ $1.35 ea. 500 @ $1.25 ea. Glow Disks 100 @ $1.75 ea. (with logo) $1.95 ea. Other Ace agreed to check with the Burbank Ice Arena Administration to determine how to be sure we are not interfering with their New Year's traditions and to see if they would fit into our program announcements. { F
