Minutes Millennium Steering Committee November 16, 1999 Meeting # 23 The meeting was convened at 7:06 PM in the Conference Room at Town Hall. In attendance: Anna Carroll Foulds, Alan Foulds, Mary Hatfield, Mary Williams, Dick Stosez, and Steve Crook. Non-committee members: Karin Samatis, Linda Russo Business 1. Minutes The minutes of November 1St, 1999 were approved. 2. Correspondence Mary Hatfield now has all town permits. She will meet with Mary Ellen O'Neill to complete them. Mary Williams reported that articles have appeared in both newspapers. 3. Tent Mary Hatfield said that the final price for a 40x60 tent is $5,775 and a 40x80 tent will cost $6,677. On a motion by Dick Stosez, it was voted 6-0 to proceed with ordering the largest tent that will fit on the Common. On a motion by Dick Stosez it was voted 6-0 to set the prices of torches as follows: $10 for the first one, $18 for 2, $25 for 3. On a motion by Dick Stosez it was voted to set the button price as follows: $10, and 2 for $15. Mary Williams will try to line up The Hot Spot, Dragon Corner, P=S Variety, Winslow's, Sense of Wonder, Dynamic Sports, Reading Trophy, and Reading Co-operative bank as sales outlets. 4. Issues List The committee decided to revert back to the policy established in April, stating that we would not attempt to commit official school groups to be present during the Millennium Party. On a motion by Dick Stosez, it was voted 5-0-2 to direct the chairman to inform the BPO and the Music Director of our decision. The Lafayette Orchestra informed Karin Samatis that it will need rehearsal space before their concert. She will try to line up the Old South Church Sanctuary for an "open" rehearsal that will serve as one "non-button" event as a "tease" for the rest of the evening's entertainment. Karin reported that the Lafayette Orchestra needs a piano or money to rent one. Dick pointed out that we had allocated $500 more than they had asked for, so the committee agreed that the orchestra could use the extra $500 for piano rental. Jeremy Carter of "GEL" said that his band has been offered $1,000 to perform in the Town of Ayer, so they may be looking for more than the $500 that we talked about. Karin will not sign them up before hearing a CD and talking with the committee. No ideas for the fifties venue have been forthcoming. Steve had nothing new to report on Midnight. An MC or MC's are still needed for the tent. We still need uses for Katie's Hallmark windows, as well as Edward Jones Investments. 5. Arrangement of Venues See attachment. 6. Budget and Talent Review See attached budget. Other Ace reported that no money from the $15,000 Celebration Trust grant has been received The meeting was adjourned at 10:15 PM. to December 2 °d, 1999.
