Party KIP: Realm MassruJ~usefts , Deeember 31, 1999 Minutes Millennium Steering Committee December 8,1999 Meeting # 25 The meeting was convened at 7:08 PM in the Employees Lounge at Town Hall. In attendance: Anna Carroll Foulds, Alan Foulds, Mary Williams, Dick Stosez, and Mary Hatfield. (Steve Crook arrived at 8:24) Non-committee members: None Business i. Minutes The minutes of December 2nd, 1999 were approved. 2. Correspondence Anna (Ace) received several phone calls asking questions about the party. Mary Williams received several phone calls as well. She has had inquiries about fireworks, which we are not having. Mary Williams approached the Atlantic Market for a food donation for volunteers. They were willing to give $100. Mary has contacted the Northwest Weekly section of the Boston Globe, in order to get a story in the paper. The Commissioners of Trust have been releasing checks this week. Creative Arts has received one. Ours should arrive at the P.O. Box this wwek. The "Rotary" check for the Lafayette Orchestra will also be out soon 3. Tent $150 can be removed from the price of the tent. We only need three heaters instead of four. The final price is $4,580. Mary Williams will go the Reading Co-operative Bank to get a check for one half, to mail as a deposit. We need permits for gas and plumbing, and we need a licensed gas fitter to make the connections. We will have 6 tanks for 3 heaters. Dick arranged with AGA Gas to provide the fuel. He does not have a final price. 4. Buttons, Torches, and Shirts We have sold roughly 220 buttons. The Hitching Post is now a sales outlet. We have sold roughly 70 torches. Sasse has offered to sell torches, along with The Hot Spot. Karen will update the web page with the information. Dynamik Sport will begin selling shirts. To date the shirts have brought in $7,523. 5. Midnight Craig Gallant, the drama coach at Milford (NH) High School, has given a qualified yes, to accepting the role as our midnight co-ordinator. He already has some plans, will try to firm them up over the next few days. 6. Schedule and talent. Phil Vaccaro's space has been rented and is probably unavailable as a venue. One site is still needed. Two additional ice sculptures have been ordered. For an additional $17 each, they will be lit. Two will be in blue, and two will be in white. We now have a baby with a top hat, our logo, the digits "2000", and "Father Time". They will be located at Latham & Latham, The Senior Center, Reading Co-op, and the Good Shepherd Church. Mike Fennelly will begin his `30's act at 7 PM. Mike Curran may also perform at the 30's venue, later in the evening. We are still waiting for word from the Pastelles for the 50's venue. A second option is possible, from the same agent. Mary Williams will pass on the names of local talent "Let The Good Times Roll", Larry Fredericks and "Solid Gold" to Karin Samatis. The Reading Symphony Orchestra will have a 7 piece group performing baroque in the tent, sometime between 3 PM and 5 PM. Friday is the deadline for the program. We hope to have all venues and talent lined up. The program should also include the Industrial Expo at the library, the Ice Rink, and the breakfasts. There will be two breakfasts, each held at Old South Church. The first, run by Don Cowan and the Lions Club will take place near dawn. The second, run by the Coolidge Science Olympiad group will be at 9 AM. 7. Video, Map, Expo Updates The video is still being completed. All voice-overs have been completed, using Alan Bond as narrator, as well as Lois Bond, Kevin Vendt, Virginia Adams, and Alan Foulds. Steve Trites has completed the building of the map frame. Alan has wallpapered the map onto the frame, and lights will be installed in the coming week. The expo will contain five entrants; Corporex, RMLD, REI, the library, and the Post Office. It will run from December 21, 1999 to January 4, 2000, from 10 AM to 5 PM. 8. Budget Review See Budget Attachment. 9. Issues Last See Issues List attachment. 10. Other Mary will represent the committee at the Board of Selectmen's meeting on Tuesday, December 14'. She will update them on publicity, and tell them of various needs we have from town departments. The meeting was adjourned at 8:55 PM. to December 13th, 1999. The following meeting will be Monday, December 20'h.
