Non-committee members: Karin Samatis, Rita Robertson Business r 1. Minutes The minutes of December 8th, 1999 were approved. 2. Correspondence CNN contacted Anna (Ace) with some follow-up questions. 3. Lafayette Band Situation Peter Stickel informed Karin Samatis that the orchestra planned to play from 7:00 PM to 9:30 PM. This caused several problems in that the committee had counted on them to perform until close to midnight. A gap in the schedule would result. In addition, the 7 to 8 time slot is not available. The Bucket Band has already been contracted for that time. Karin informed Peter of our concerns, but he has not yet come back with an answer. It is the feeling of the committee that a compromise should be reached. On a motion by Mary Williams, Karin was directed to negotiate with the band. We should offer to let them start with the 15 committed members, but try to retain a "core" until later than 9:30. The committee felt that a time frame of 8 to 11:30 would be ideal. 8 to 11 would be acceptable, as Music Street has now committed to play from 11:30 to 2:30. For anything less, the Chairman will be notified and she will poll the committee for their opinions. The vote was 7-0. 4. Potential Fireworks Mary Williams was approached by Superintendent Harry Harutunian, who has a plan for fireworks. He has located a company who will shoot two sets off on the evening of January 151; 6 PM and 10 PM. Mary Hatfield moved that we respectfully decline the offer, as it is now too late in the planning stage to successfully plan such an event. The committee also felt that fireworks on the day after the celebration may not get a wide response. The vote to decline was 6-1. 5. Selectmen's Meeting Tomorrow Mary Williams will represent the committee before the Selectmen on Tuesday, December 14'. She will discuss publicity, schedule, buttons & torches, Pomp and Circumstance, and will answer any questions from the Board. 6. Finalize Program for Chronicle, Selectmen Plans for the program, to be published by the Chronicle are progressing. Mary needs to get in touch with Dick Haggerty to iron out details. 7. Tent Issues Dave Tanner, a licensed plumber has offered to pull necessary permits for the gas hook-up, and be present when the gas is hooked up. Linda Cottone of the Reading Co-operative Bank is trying to find out the dimensions of the tent in order for her to order bank signs. The gas price is $36.50 for each canister. We will need six in total (2 for each heater). The tent may be put up on the 29', rather than the 30'''. The gas would not be hooked up until the 30"', in either case. 8. Button, Torch, Shirt Update Buttons - All button outlets are reporting a brisk business. The Hot Spot and the Common Lighting sold 166. Roughly 265 have been sold in total. Mary Williams moved to buy 500 more buttons, to make sure we did not run out. Ace, as the button sponsor, offered to purchase them. Mary withdrew her offer, and instead moved that we accept her additional donation. It carried 6-0-1. Torches - As of last Wednesday we sold $666 of torches. Sales have picked up since then. The Hot Spot and Sasse are our torch vendors. Shirts - Dick reported an additional $554 in shirt sales. Postcards - So far, $238 has been made in postcard sales. Katie's Hallmark and The Hitching Post still report having a small supply. 9. Midnight Issues Alan reported that Craig Gallant has moved forward in planning for the midnight celebration. He proposes using 3 confetti cannon; 2 shooting confetti and one shooting streamers. In addition, special theatrical lighting will be used, as well as a fog machine. He says it will be the closest thing to fireworks without the fire. Steve is still planning to create special lighting behind the clock face and on the bell balcony. He will meet with a member of the church trustees this week. Alan will also meet with them. !r Mary moved that we spend up to $1,000 more on the midnight celebration. It carried 7-0. F 10. Venues, Talent The Reading Symphony Orchestra will play for one hour sometime between 3 PM and 5 PM in the tent. Ace will be informed of the details on Thursday. Abra Cadabra will be paid for by the Police Patrolmen's Association. Kevin Vendt has offered to MC for a portion of the evening. The following changes in venue locations and talent, were made: Kristina Hodgkins will be asked to play at the Baptist Church at 7 PM. The film Festival has been moved to the Masonic Hall. "Sing Along With Mike" has been moved to the Knights of Columbus. Eddie Dee plans to start at 5 PM. Not Fade Away will play at 10 PM. The Disco Dance will be moved to Old South. The participants will be asked to move the performance to 9 PM. Eric Behr will perform at the Congregational Church. 11. Video, Map, Expo Updates Video - All parts have been made. Phil Rushworth is now editing it. Man - The map has been wallpapered on to the frame, and time zones have been put on. Steve Trites is now drilling holes for the lights. Expo - No updates. 12. Town Issues We need to talk with Peter and the department heads about police details, saw horses, and street closings. 13. Budget Review See Attached Budget. 14. Review of Issues List See issues list. 15. Other Steve reported that the YMCA will be closing at 2:30 PM, after an "open swim". The meeting was adjourned at 8:55 PM. to December 20th, 1999.
