In attendance: Anna Carroll Foulds, Alan Foulds, Mary Williams, Mary Hatfield, Karen Sawyer, and Steve Crook. Non-committee members: Karin Samatis, Charlie Peacock, Brenda Smith, and Joanne Secher. Business 1. Minutes The minutes of December 27th, 1999 were approved as amended. 2. Correspondence Mary Williams reported that Television Channel 7 called, looking for information on the Millennium Party. 3. Tent Issues The tent is up on the Common. The Reading Co-operative Bank has requested buttons for its employees. We supplied them with 20. The bank also requested that we allow them to put a donation box, for fire equipment inside the tent. The committee felt that it could not be responsible for money in the tent, and also did not want people, who had already spent money on admission, to feel obligated to pay again. The committee did, however, decide to allow the bank to put the box in Edward Jones Investments, our volunteer hospitality center. The stage will be placed in the middle of the tent on the long side, opposite the church. 4. Button, Torch, and Shirt Update Buttons: The possibility that buttons may sell out is real. We will consider using a hand stamp on New Year's Eve. f 5. Midnight Update The Midnight ceremony will take place approximately in this order: 11:45 Holiday lights on the Common are turned off. 11:50 Don Hicks, President of the bank will speak. 11:51 Taped dramatic reading of the events at the last turning of the century party. 11:54 "Music Street" will play The End of the World As We Know It. 11:59 Fog will start forming at the base of the Old South Church. 11:59.50 Chairman of the Board of Selectmen, Sally Hoyt will begin the countdown. Midnight Charlie Peacock will fire the militia cannon. Confetti cannons will fire. The clock face will change from white, to the colors of our logo. The church balcony, surrounding the bell, will light up. 12:05 Music Street will play Auld Lang Syne 6. Venues, Talent Update Ken Sawyer, Karen's brother has offered to perform in the 40's venue as a re-enactor. The ice sculptures will arrive at 2 PM, Thursday. They will not be placed on wire wheels as previously reported, but rather, will sit on the ground. This change has been made for safety reasons. The school projects will begin arriving at the venues at 9 AM. Anna (Ace) will try to get one more act for the Senior Center. Program The "yellow" programs will be picked up from the school on Thursday. The Chronicle special edition will be dropped off at the tent on the morning of the 31st 8. Video, Map, Expo Updates Alan reported that the video is nearing completion and will be ready on time. Alan reported that the map is ready to be put up on the 30th. He and Steve Trites will assemble it, and Karen Sawyer will help install the lights. The expo is continuing at the Library. Three participants have exhibits in place - The Library, the Post Office, and the RMLD. 9. Town Issues Ace reported that we have a building permit. The plumbing and the electrical work will be done on Thursday morning. 10. Budget Review Brenda Smith reported that we have $37,727 in the savings account and $3,700 in the checking account. She also reported the following revenues and expenses: Revenues: Grant $25,000 Unrestricted grant $5,459 Buttons $12,916 Shirts $11,018 Torches $3,781 Post Cards $311 Other $11 Interest $247 Expenses: Torches $2,939 Talent $2,500 Promo $60 Fees $140 Other $1,306 Shirts $8,203 11. Review of Issues List The Issues List was completed. 12. Other It was reported that RCTV (Reading Community Television) will be covering as many events as possible, although none will be shown live. Jeff Lamson will tape the opening ceremonies at 5 AM. There will be a 3-camera shoot of Fred Foy and Colonial Chorus, and a 2-camera shoot of the Lafayette orchestra. Mary moved that we authorize up to $600 to rent a "big screen TV". It carried. By general consensus it was agreed to authorize up to $1,000 to have official photographs taken of the events. Members of the reading Photographic Society have agreed to take on this role. On a motion by Alan, the meeting was adjourned to a date in January to be determined by the chairman.
