Millennium Steering Committee January 15, 2000 Meeting # 30 The meeting was convened at 1:20 PM in the Masonic Hall. In attendance: Anna Carroll Foulds, Alan Foulds, Mary Williams, Mary Hatfield, Karen Sawyer, Dick Stosez, and Steve Crook. Non-committee members: Karin Samatis Business 1. Minutes The minutes of December 29th, 1999 were approved as amended. 2. Correspondence "Thank You" letters were received from Sally Hoyt, Alice & Mike Modica, and Virginia Adams. Letters appeared in both the Advocate and Chronicle, as well as the St. Agnes bulletin. 3. Post Mortem Committee members reviewed photographs taken by the reading Photographic Society. 4. Budget and Balance review Alan reported that the total revenue for all aspects of the Millennium Party was $76,785. The current balance in the savings account is $42,683 and the balance in the checking account is $3,005.02. From this, $15,000 will be returned to the Celebration Trust. Approximately $10,000 is still to be paid out in outstanding expenses. 5. Future Events Mary Williams suggested that we leave the balance (after expenses and donations) with Reading Celebrations, Inc. to be used for a potential New Year's Eve party at the end of 2000. She gave a brief outline of her plans, which call for a celebration at the high School on December 30d. It could possible include fireworks. A new committee would be called for, sometime after the March 31' ending date of this committee. It was suggested that Ace (Anna) mention this possibility when she makes her final report to the Board of Selectmen. 6. Balance Distribution Discussion Dick Stosez made a motion (and seconded by Alan) that we adopt Ace's suggestion and make a donation in excess of $1,000 to the Thermal Imaging Fund, in the name of all of the individual performers who donated their time on New Year's Eve. The particular fund was chosen because it is the charity that was sponsored by the Reading Co-operative Bank during the celebration. The motion carried 7-0. A final amount will be decided at a later meeting, after a final balance is determined. On a motion by Mary (and seconded by Steve) the committee voted 7-0 to reimburse Mrs. Litterio and Mrs. Hodgkins an additional $50 each for the accompanist that they hired to play along with Paul Litterio and Christina Hodgkins. The committee previously voted to pay them $50 each. Mary will ask them to send bills to Brenda Smith. The committee voted to make donations to the following non-profit organizations who made great contributions to the celebration: Old South Methodist Church $150 First Congregational Church $150 First Baptist Church $150 Church of the Good Shepherd $150 Masonic Hall $150 Knights of Columbus $150 Creative Arts $500 RCTV $250 Colonial Chorus $500 Reading Symphony Orchestra $100 Reading Community Singers $250 First Composite Group, $250 451` Squadron MMAD $100 Reading Art Association $100 Reading Society of Craftsmen $100 Reading Photographic Society $100 Killam PTO $100 Birch Meadow PTO $100 Barrows PTO $100 Parker PTO $100 Coolidge PTO $100 On a motion by Alan, and amended by Mary (seconded by Ace) it was voted 7-0 to pay Greg Hanawalt an additional $1,700 in recognition of his tremendous support, beyond what we had hired him for. 7.
