Minutes of the Board of Library Trustees Meeting

Presentation by Richard Smith, Architect, Adams and Smith LLC
Mr. Smith handed out several architectural drawings showing different views of the interior and exterior of
the Library. He then walked the Board through a "myriad of issues" that he felt need to be addressed in
terms of the maintenance of the current building and the future needs of the Library. These issues fall into
the following major categories:
Building envelope
Structural system
Electrical issues
Accessibility issues
Security issues
Library planning.
Mr. Smith provided a very thorough analysis of each of these areas. Following his oral report, there was a
general discussion and Mr. Smith answered a number of questions from the Trustees. The Trustees were
also provided with a paper copy of his full report.
In his report, Mr. Smith noted that the fire alarm system is outdated, and is not in compliance with the
requirements of the American Disabilities Act. Following a discussion of this particular item, Ms. Storti
made a motion that the Town be asked to appropriate funds through the capital budget to replace the fire
alarm system. The motion was seconded by Mr. Hutchinson and was voted unanimously.
Minutes
The minutes of the July21 meeting were unanimously approved.
Financial Report
Ms. Urell reported that this month's financial report is the first report created using the new MUNIS
software. The Town Finance Department is in the process of closing out Fiscal Year 08 so that additional
information will be available in the next report.
Statistical Report
Nothing of note to report.
Friends Report: Ms. Dubois
• The Friends are planning to sponsor a travel photo contest this fall, in conjunction with the Bill
McLaughlin Travel Series. Local amateur photographers will be invited to submit photos capturing
special moments from their travels. Winners will be announced in January. The winning
photographs will be displayed in the Library.
• The next Girls' Night Out will be held on November 18. It will feature Jan Richenburg of Pettengill
Farm who will present a program on holiday decorating with plants and flowers.
• Planning for next spring's House Tour is in progress. Two houses have already been confirmed, and
a third is pending.
Foundation Report: Mr. Curtis
• The Foundation has applied for $16,000 grant for the purpose of setting up a summer internship
program.
Director's Report
• Ms. Urell reported on the pay and classification study: She has reviewed, revised, and submitted all
job descriptions for positions in the Library, and has provided the consultant. with additional
supporting information. Rachel Brown of Stone Consulting is conducting the study, and will
provide a general report at the next meeting of the Board of Selectmen on October 7. Several of the
Trustees indicated that they are planning to attend the Selectmen's meeting. Ms.Urell will check on
the time that Ms. Brown is scheduled to present, and will report back to the Trustees.
• The Assistant Director's position, which will be vacant as of September 29, has been posted and
seven candidates have applied. First consideration .will be given to candidates who apply before
October 3.
• The Garden Club expects to have the new garden planted this fall. The necessary retaining walls are
scheduled to be installed next week.
• Ms. Urell wrote a successful grant application to the American Library Association and the Fetzer
Institute and has received $2500 to support a series of book discussions on the topic of "Love,
Forgiveness and Wisdom."
• A joint dedication ceremony for the refurbished computer lab and the Celebration Garden will be
held on Sunday, October 26.
• The new free-standing, drive-up book drops have been installed at the end of the handicapped
access ramp, and are very popular with the public.
Adjourn
The motion to adjourn was made by Ms. Dubois and seconded by Mr. Hutchinson. The next Board of
Trustees meeting will take place on Monday evening, October 20, 2008 at 7:00 p.m.
