Reading Cultural Council Meeting Minutes November 14, 2000
7:30pm at the Reading Public Library.
Members in attendance: Roberta McRae, Judy Junker, Ann Rotondo, Joyce Holt, Allison
DaSilva, Anna Dixon, Debra D'Arcy.
Reading Cultural Council Votes on Grants .(The interviews of grant applicants were 11/8/00)
Roberta McRae abstained from voting on the Birchmeadow School Grants because she has
children at that school.
Allison Da Silva did not fill out the interest exemption portion of the disclosure form from the
Library Grants and fill out the disclosure form. She is an employee of the Reading Public Library
and chose not to vote for Library Grants.
A voting grid will be sent in with the minutes.
Correct the number of grants to 48 grant applications submitted this year.
The minutes from the October 18th meeting were changed and approved.
Ann Rotondo presented the treasurer's report.
$520.00 left in the administrative funds.
5% is $513.00 out of our $10,274 Year 2000 grant cycle award for administrative use.
Examples of administrative costs:
Printing bills from the Graphics shop
The plaque comes out of admin. funds
Flowers for the Cultural Award comes out of admin. funds.
We may hold focus groups
100 cards may be printed
A community input meeting for a grantwriting workshop and it can be posted in the paper
Check with Rosalie DeQuattro at MCC re: requirements for it.
Ann Rotondo notified Marjorie Pratt of the Reading Public Library re: Reimbursement forms are
needed for the Coffee Hour at the Library, as well as the concert series
Andover Chorus has not submitted reimbursement
Chlotrudis is deferring their grant..
Roberta asked Ann to send requests for reimbursements.

There is enough to cover grants $10, 274 is the working number.
On Dec. 3, 2000 at 2PM Roberta McRae will do the Grant processing paperwork and will give
an overview of the MCC process at the 12/13/00 meeting.
The Andover Choral grant was late and Roberta McRae sent it back to Andover Choral.
Roberta will keep a copy of the Late Grant form.
Grant books usually cost $100 for 6 copies
AnnRotondo suggested taking a total of $274 from the $10,274 working number and start to
grant out money starting at a $10,000 figure.
Ads have been free in both the local papers
Other publicity to use:
the Town Website
Reading Cable TV - RCTV
The council will go through the grants one by one and agree on each one to fund.
Roberta presented her approach to funding as an example for the council to consider:
The council will give preference to Grants from Reading, MA.
Roberta made a motion to vote
Allison DaSilva abstained from voting for the Reading Public Library Grant and Roberta McRae
abstained from voting on the Birchmeadow School grant.
The motion was made to accept the vote and it was seconded.
The next official Cultural Council meeting is Dec. 13, 2000 if there is an appeal.
Roberta will send out the rejection letters.
The acceptance letters will contain reimbursement information.
The meeting was adjourned.
