MA 01867 Reading Cultural Council Meeting Minutes Nov. 11. 2001 7:30pm at the Reading Public Library Members in attendance: Ann Rotondo, Diana LaVancher, Allison DaSilva, Joyce Holt and Judy Junker. GRANT INTERVIEWS 01-16 CREATIVE ARTS: SCOLARSHIP FUND: Dot Dellacroce Creative Arts - 6 Yrs. Scholarship money $1,000/yr. for Music. THey apply for alternate money, applications are sent in by clients and all or some is funded. In six years, no one has been turned away. Other funding - how to get it: annual appeal to sections of the town. Send out a letter for school endowment. Ask for $1,000. Creative Arts received $6,000 for school applicants. r_ Dot was asked by Allison DaSilva if she would accept partial funding and Dot said yes. 01-18 COLONIAL CHORUS: 2 BROADWAY MUSICALS:Sharyn Taitz Colonial Chorus. Tickets: hotline 944-9780 musicals funding for publicity and for royalties. $2,000 ($1,000 X2) $1,000 is for the Fall Production. Ticket Sales, ads, refresments, yard sales and in kind contributions of materials and time. They solicited and received a donation of 12 bentwood chairs for a free ad for Vinm Testa's restaurant in their Fall Production, Cabaret booklet. Sharyn was asked if she will accept partial funding and will the production still run if it cannot be funded? She said yes. Allison mentioned that if we are not funded on time, it may be delayed if our dates are pushed out, we will contact the applicants. Senior citizens are coming to their dress rehearsal. 01-04-05-06 BARROWS SCHOOL Karen Flint - Barrows Beethoven perforniance got requests form other schools to preview it. Karen talked to Sue Reardon to open it up last year to Senior Moscow nights. 04 MULTICULTURAL AWARENESS: Multicultural awareness and exposure to unique forms of art. She will accept alternate funding sources. All are PTO funded. Jessica Seber will do an additional presentation on her trip to Peru, appreciated by High School students. 05 NSMT PASS (North Shore Music Theatre) "Amelia Bedilia" Allison asked if they talked to Austin Prep if they want to have any extra seats. 06 NSMT PASS "(North. Shore Music Theatre)"Lyle Lyle Crocodile" Tap dancers resumes not needed. O1-23 FRIENDS OF READING PUBLIC LIBRARY: YOUNG ADULT AUTHOR VISIT: Susan Beauregard and Mary Hichborn. Susan gave the council a handout from Bates College. Susan and Mary met the author Mat Tavares and gave a slide presentation and illustrations and talked about writing "Zachary's Ball:", which was his senior thesis and then he publlished it a year later. Mat will speak about how kids interested in illustrating and writing and talk abokut how a book is written. He will conduct large and small workshops in Parker and Coolidge middle schools. He will talk abokut the illustrations' point of view. The author will help the kids illustrate their writing and help kids on the web page. Austin Prep is invited too. The performances can go on without partial funding. Susan and Mare were informed by Allison that the budget may be delayed and the RCC will notiA, them when the budget comes in. 01-07 COOLIDGE MIDDLE SCHOOL: YEAR OF RESPECT: Mary Hichborn, Coolidge Librarian and Mary Ann Kozlowski an enrichment parent.$2630 amount requested. It is tied around I theme. They have alternate sources of funding and can accept partial funding on their 3 applications. 01-0 1-02-03 JW KILLIAM SCHOOL :Kathy McKie, Killiam School LLC And PASS -01 MEET THE MUSICIANISBeethoven - Meet the Musicians -02 BOSTON SYMPHONY PASS -03 NSMT PASS to "Lyle Lyle Crocodile" Yes. they will run with partial funding. The State funding is not finalized and may be delayed. The RCC will contact Kathy McKie when the funding comes in. The Council asked Kathy to give credit to the RCC to all projects in April whether funded or not. 01-21 RCTV: VIDEO EXPLORERS: Amy Brough of RCTV requested $1,000 for a VISTA volunteer. VISTA pays the volunteer. The RCC cannot fund the Volunteer. THis grant would be a subistitution. There was a $1,500 fee to have RCTV have a volunteer. The RCTV waqnts funding for the fee which is for the program. If Amy did not have the volunteer, she would still have the program. Retrospective funding. Students ages 9-I4 will be able to put their programs on RCTV with parental consent.Dates are not finalized yet. January is planned for Parker and Coolidge will have the program at the end of January 2002. The Parker TV Studio is open. THey will go ahead with the program with no funding. If no VISTA Volunteer comes, they would put the money into videotapes and Amy Brough would conduct the program. Allison mentioned that the budget may be delayed and Amy will be notified when the budget comes in. Joyce Holt, RCC Member asked," Can you amend a grant application by a letter in the interview process? Ann Rotondo, RCC Treasurer answered, " We have ammended in the past" BUSINESS MEETING: Total Amount $36,544 total amount of grant applications Allison Dasilva called Daniel Kertchner re: the Poster for the RCC and asked if the MCC could include "Reading Cultural Council" and have it right justified to include the RCC logo. Allison passed out the article for the Reading Advocate. Allison gave receipts for Bill McLaughlin's coffeee hour series to Ann Rotondo. THis year's grants should be paid by 12/31/01. All past grant applications should file for reimbursement by 12/31 of the grant year. Allison DaSilva passed out the MCC Annual Report. She also passed out draft letters for an approval letter and a denial letter. based on what was sent out last year and expanded on it. Ann Rotondo made a suggestion for the Denial letter to include: "The RCC gives preference with applications that have a Reading venue and can proceed with or without funding. Discussion of a grant: 01-34 MADE IN THE SHADE: AMERICAN, MUSIC CRUSADE: Dan Fox This show will be in collaboration with the Parks dept. Memorial Park. He will perform without partial funding with less musicians. He is not booked for July 4 in the Town Common. Allison will add his comments on the denial letter for the date and place. Approval letter change suggestions: a cancelled check must accompany all requests for reimbursement. Highlight it. The deadline to submit is January 31, 2003. Change the date to Dec.31, 2002. Ann Rotondo said to fund I grant each per school except the PASS grant for all schools put in by Killam. Last year we gave the schools $750 each. Go through each grant go through schools 40% or 50'%. Joyce Holt asked Allison to resolve the RCTV -rant with MCC. Ann Rotondo asked, "can we send denial letters out right away and give 2 weeks appeal period until Dec. 1, 2001. Re: interest on our RCC account, Ann Rotondo is checking with the Town Hall about interest and it could mean a lot to the RCC. The business meeting ended at about 9:30PM.
