MEETING CALLED TO ORDER - 7:05 pm MEMBERS PRESENT - Liz Whitelam, Anne Hooker, Lorraine Horn, Karen Storti, Patrick Holland, Vicky Schubert MINUTES of the November 27, 2007 and January 8, 2008 meetings were distributed and approved. CORRESPONDENCE - Of the reimbursement requests received: It was noted that the Drum & Bugle Corps request was missing some documentation of expenses and may require a partial reimbursement. The Community Connection's reimbursement request included some extraneous expenses; LW has advised them of the error and they will submit a corrected request. COMMUNITY INPUT SURVEY LW reported that she created a draft survey based on the State template and tested it on the Town's website. She agreed to request placement on the site's front page when the survey was ready to be deployed. It was agreed that we would add items inviting people to join the council and submit the names of arts organizations they thought should be notified about the opportunity to apply for a grant through the council. GRANT RECIPIENT RECEPTION It was decided that we would move the reception to May to avoid conflicts with the April schedule. KS suggested that we contact newly opened local restaurants to see if they would like to donate space or refreshments. LH agreed to coordinate the search for a suitable location, and to create invitations that would include a list of the grants awarded in this cycle and an invitation to new council members. AH agreed to check with the police department regarding their policy on eating in the community room, and noted that we have approximately $600 in administrative funds available to use for this event, although it was generally agreed that we would spend much less than that. KK offered to contact RCTV to see if they would like to cover the event. LW additionally shared the following updates: Press releases were sent to the Advocate and the Chronicle regarding the grants awarded in this cycle. An article appeared in the Chronicle, which included congratulations from our local State representatives. Town Day has been scheduled for June 21. It was agreed that we may want to be a little more visible this year in light of our membership crisis. One prospective member will attend the April 1 meeting. It was determined that the Ruby Bridges performance did not meet the criteria for a Gold Star project. The meeting adjourned at approximately 7:50 Respectfully submitted, k Vicky Schubert 1
