Call to order
Meeting called to order at 7:05 pm.
Auproval of minutes - January meeting
Christine mentioned that we have a June 3 meeting scheduled. Liz will amend the minutes
to include that.
Motion to approve the minutes raised and seconded. Unanimously approved.
Treasurer report
Brian summarized: Reading '24 funds have been spent, per our goals. FY'23 state money
(last year's money, which if not spent we lose)—we have spent 25% of that (see
spreadsheet). Brian reviewed account statements, balances, and current funding levels. We
have not received FY'24 state money yet.
Our contract has been signed as far as Brian is aware, which should trigger state funds. Last
year the funds came In sometime around June.
Steve asked Brian how he gets the spreadsheets he shares with us. They are sent to Brian
via our Gmail account each month. Steve confirmed this to ensure we can access them after
Brian's term Is up.
All grants for 2023 have been finalized. Reading Art Association didn't send in anything.
Three recipients submitted receipts for less than the grant amount.
Two FY'24 reimbursements have been processed already

Filling open RCC positions/Transition plannino
Steve spoke with eighb people who expressed an interest in joining RCC after our January
meeting. To date, none of these people have applied for a position. Steve plans to reapply
this spring. Brian will have completed his 6 years this spring; Sherilla will be completing her
first 3 -year term as well. We need 5 members per state regulations.
Christine recommended inviting possible new members to our May reception.
Brian will write some notes about the role of President to be kept with our documents.
Plan May 13 reception
The event will be held at the Senior Center. It will include a slideshow, light refreshments,
live comments/feedback from attendees, and a Post -it note feedback wall.
Steve:

• Nametags and Post -it notes (some leftover from last year)
• Create flyer and share with Town Manager office
• Send out save the date and request for pictures
Christine:
• Bottles of water and cookies
• Tablecloth(s)
• Check MCC website for email addresses of fund recipients. Invite list will also include
identified potential members

Brian: Reserved room from 6-8:30 (reception scheduled for 6:30-8)

Miscellaneous
Brian shared that per Reading's guidelines the RCC needs to have 5 members but no more
than 7. Per state guidelines, the numbers are 5 to 22 members.
Brian mentioned that we need a place to store our documents and data (public records)
somewhere other than Google drive. The Town recommends we use another platform but
did not suggest one. All members had the same question: What are other committees in
town using? Christine asked if we can use MCC as a resource for this?

Christine asked if an annual RCC financial report was written and submitted by the town
deadline of February 28th. Brian was not aware of a February deadline but did submit a
report at the end of 2023 to the Select Board.
Is Brian a member of the Arts & Culture Action Plan? No one is aware If this group is still
operating. Christine asked if it is, shouldn't a member of RCC be part of this? Christine
volunteered to be our representative for this.
