The meeting was called to order at 7:00 PM. Representatives of Robockets, Eileen Manning and Alistair Lyons, attended the meeting with a request. Members voted to adjust the agenda and let the Robockets topic be first. Motion passed unanimously 6-0. The Council had granted $300 in the recent grant cycle to the Robockets Chain Reaction Event that took place in November of 2022. Eileen and Alistair shared that they held the event and had a lot of donations, so the costs were very scaled down for the event. They requested if they could use the grant from the council for their event being planned for November of 2023 instead. It would be the same event but just held a year later. A vote was taken by the members still In the meeting (Sherilla had exited the meeting prior to vote), and it unanimously passed 5-0. Eileen and Alistair then dropped from the meeting. Brian shared that he entered all grants into the grant management system which then alerted the grantees. He also sent letters to their email addresses. Brian confirmed with our contact at the Massachusetts Cultural Council that all actions were completed in full. Brian updated the council's contact list with this year's new grantees' contact information. Brian shared we may have a person interested in joining, who will still need to formally apply, however they are not interested in being Treasurer. It was discussed that the Town allows for 7 Full Members and 4 Associate Members but that the MA Cultural Council considers all members the same and all as members (does not differentiate between Full and Associate). It was discussed that if a new applicant was interested in being Treasurer that some Full members would be willing to go to Associate Member status to open a Full Member slot for a new member interested in being Treasurer. The Treasurer Report has been suspended and will be reviewed in our next meeting. Brian has emailed all 2022 grantees requesting that if anything is still outstanding for reimbursements to let him know. Christine inquired if we have a job description for the Page I 1 Treasurer position and Brian said he had one from the MA Cultural Council and as follow up with share that with all members. The minutes for January 9, 2023, were reviewed. The minutes were unanimously approved 5-0. Community outreach was discussed. We have the option of conducting a survey again or a reception. It was discussed that we could consider a May reception. Christine agreed to check with the Senior Center regarding if they have availability for May V 6-8:30 PM and if they do not to see what dates could be available. It was discussed that the members would like to honor Katharine Lopez Natale, a former member who passed away during the reception. Brian will also include a mention of Kathy in his Select Board Report he will be submitting. It was discussed and determined that the March 6th meeting will be held by Zoom. It was noted that the allowance to conduct meetings by Zoom ends by the State at the end of March and that there are Indications that the Massachusetts Legislation may want to make it permanent.
