MASS, Board - Committee - Commission - Council: Fall Street Faire Committee 1016 OCT I I A 55 Date: 2016-03-15 Time: 630 PM Building: Reading Town Hall Location: Conference Room Address: 16 Lowell Street Purpose: Preparation for Fall Street Faire Session: General Session Attendees: Members - Present: Brian Snell, Leslie Leahy, Sheila Mulroy, Bob Beckman Members - Not Present: Alison Ulman Others Present: John Feudo, Lisa Egan, Kristen Stasiak(police) Minutes Respectfully Submitted By: John Feudo Topics of Discussion: Meeting is called to order by Brian Snell at 6:35PM. K. Stasiak gave an update on the honor guard and pipes and drums attending the event. She said she is working with Lt. Dave Clark and should be able to secure the date. B. Beckman recommended coordinating for God Bless America to be played on both stages around 12:00 PM to kick off the faire. S. Mulroy confirmed that James Bonazoli has agreed to head up the 9-11 ceremonies for the Fall Street Faire. J. Feudo presented the attached budget with a projected budget for 2016. He explained that the expenses for the faire are generally flat therefore it made sense to have the committee vote to approve the budget as a whole, rather than each line item individually. Budget could be amended if needed going forward. Sheila Mulroy made a motion to approve the projected budget as a baseline for spending limits for the Fall Street Faire in 2016. L. Leahy seconded the motion. Website Discussion: J. Feudo mentioned that the website needed to be paid for by March 23rd to avoid interruption in service and loss of domain name. They committee agreed a new website was needed as the current site had too much text on it making it hard to follow. J. Feudo said he would work with the provider Network Solutions to draft up a new site. The committee expressed some nervousness with WEPAY, but at this point it is the only viable solution through Constant Contact. Page 1 1 Sunset Discussion: The committee has a brief discussion on how to handle sun-setting of the committee. The Chamber said they are still interested in taking over that Faire if the Town no longer has the desire or staffing at any point in the future. The committee believed they were to sunset in October of 2016. However, it will be in December 2017. B. Snell said he would meet with the Town Manager to discuss the matter and understand where the Town Manager is with respect to having the Town run Faire and what options might be available. L. Egan wondered if the Town would require whomever takes over the Faire to continue with the upkeep of the flowers downtown. J. Feudo said he would also chat with the Town Manager on that front. B. Snell asks committee when they would like to meet again. J. Feudo suggests meeting in Late April. B. Snell mentions Tues, April 26 at 6:30 PM and the committee agrees. S. Mulroy makes a motion to adjourn at 8:01 pm and L. Leahy seconds. All are in favor 4-0. Meeting adjourned at 8:01 PM.
