Driscoll opened the meeting at 7:11 PM. January 2014 Minutes Acceptance - E. Hughes Motion to accept, R. Hand second. 4 -0 -1 in favor of accepting the January 2014 Minutes. ProCamps Request for Field Space Rental: J. Feudo handed out the background information with respect to what ProCamps was requesting. Pro -Camps a.k.a the "Rob Gronkowski Football Clinic' has rented the Field House, Turf 2 and Stadium Field on Saturday, May 31St and Sunday, June 1st for the purpose of running a two -day football clinic for kids from 9:00 AM - 12:00 PM. Page i 1 2013 -09 -03 Town of Reading - Meeting Minutes The school department has determined that the turf fields and field house would not be needed by the RMHS programs during that timeframe and therefore is available for use for this clinic. Pro -Camps expect close to 400 participants for the clinic from all around the area. For this reason they have requested supplemental grass space at the Birch Meadow Complex. They are requesting the following areas: SATURDAY SCHEDULE: Red= RMHS SOFTBALL 8:00 AM - 12:00 PM (shared with RYS) White = RMHS SOFTBALL 8:00 AM - 12: 00 PM (shared with RYS) Orange = RMHS BASEBALL 8:00 AM - 12:00 PM Purple= RYB 8:00 AM - Dusk Yellow and Blue = RMHS 8:00 AM - 12:00 PM Several of these grass spaces are dedicated to RMHS sports from 8:00 AM - 12:00 PM during the spring time. Some of the softball area is shared by RMHS and Youth sports from 9:00 AM on each weekend. The committee asked if what the impact would be on the youth programs. J. Feudo stated that at this point it was hard to know the exact impact, however there is a very good chance if the HS teams are still in playoff contention that they would need afternoon space thus bumping the youth programs. M. Stolecki entered the meeting at 7:28 PM. E. Hughes asked if the school grounds use was approved already. J. Feudo stated that it had been approved and both the Superintendent and Assistant Superintendent were aware. K. Kaminer made a motion to approve the request by ProCamps as noted on the info sheet in the colors Red, White, Orange and Purple. M. Stolecki seconded the motion. Motion does not carry by a vote of 0 -6 -0. A long discussion ensued. The committee discussed the crunch on field space already and the possibility of this event bumping Reading Youth Sports would be hard to explain to our youth groups. Given that this is a private company charging for folks to participate, it would be hard to explain that to a bumped group. E. Hughes asked if there was potential to shorten the time requested. J. Feudo said that procamps only needs 1 hour on grass however, they wanted the field the entire duration so they could set up before hand and would not need to move others off the field. B. Winne stated that although the dates are at the end of the season for the HS, these are key dates for the youth organizations right in the middle of their season. Page 1 2 2013 -09 -03 Town of Reading - Meeting Minutes K. Kaminer made a motion to reject the field request put forth by ProCamps. E. Hughes seconds the motion. Motion carries by a vote of 5 -0 -0. F. Driscoll recommended that the committee postpone discussion of the Birch Meadow Master Plan to the next meeting. Administrator's Report: J. Feudo stated that the Rec. Division plans on starting interviews for the new Outdoor Recreation Coordinator position next week. The goal is to have someone in place by the first week of March. The position will be part time with 10 hours per week until the summer and 30 hours a week from the end of June to the beginning of August for programming. J. Fiorente gave an overview of programming for the winter and upcoming spring season. She stated travel basketball was going well with 11 teams participating in the Metro West League. She also mentioned that summer camp registration was now open. Reading Coalition against Substance Abuse: R. Hand stated the most recent RCASA meeting was a discussion about a #16 House in Wakefield which is a 12 step community house for drug and alcohol addiction. He also mentioned that the film "Who Cares about Kelsey ?" was a huge success on February 4th Kelsey herself spoke to the student body the day of the event. M. Stolecki made a motion to adjourn. R.
