MASS. lm4 Nov -b a 2- Je Location: Arts and Crafts Room Session: Nancy Snow, Donna Schenkel, Maryann Kozlowski, Catherine Folan, Rosemary Lewis Members - Not Present: Jacalyn Shelton Wallace Others Present: Lynne Cassinari Minutes Respectfully Submitted By: Rosemary Lewis Topics of Discussion: The meeting was called to order at 7:10 pm in the Arts and Crafts Room of the Pleasant Street Senior Center by Donna Schenkel. Minutes of the September meeting were reviewed. The date the Annual Report is due was corrected to January 15, 2015; Minutes were then approved. Treasurer's report was postponed until Cate arrived. New member training was completed by Donna and Rosemary. Maryann still needs to complete the Conflict of Interest training for the Town. There was discussion about trying to find new members and whether or not there should be attendance requirements. Donna will check with Laura Gemme to see if the By -Laws address attendance requirements. Donna will contact Jacalyn about whether she will be able to attend future meetings, as she has been absent for several. Currently there is one unfulfilled spot on the council. The person Donna had contacted about volunteering declined. Everyone was encouraged to contact people who might be interested in serving on the council. Publicity efforts for the current campaign were reviewed and all were felt to have been effective, especially the Reading Recreation's catalog ad, Community Connection, signs on the common, Letter to schools, fliers and press release to the Chronicle. No one saw the information in the Patch. There was discussion about providing a workshop in the spring about how to apply for a grant. Donna asked if the State Council might come to run the workshop. Vanessa Wu, our liaison, is no longer with the MCC. Lynne thought we could prepare a power point presentation and have a question and answer session, possibly with some former Grantees present. Maryann will look Into setting this up. The meeting schedule for the year was presented. There is a conflict with a special Town Meeting in January, so the date was changed to 1/12/15. Donna will secure a location for that meeting. The following dates were then approved for the year's schedule: Page I 1 November 3, 2014 December 1, 2014 January 12, 2015 February 2, 2015 March 2, 2015 April 6, 2015 May 4, 2015 Grant applications were distributed and there was discussion about general requirements and invitations to applicants to attend the November meeting to provide additional information about their projects. According to our guidelines, the projects must take place in Reading, there must be a specified date and venue. Some of the applications did not meet these requirements. Letters will be emailed tomorrow to invite applicants to the November 4 meeting. Cate arrived and presented the Treasurer's Report for June. All submissions for grants have been paid to date. July and August reports have just come in and will be presented as soon as possible. Lynne submitted a receipt for parking fees when she attended the State Meeting. Reimbursement was approved by motion and vote. This year's grant allocation from the State Is $5700. Lynn suggested that we allocate the maximum amount allowable (5 %) for administrative costs, as we have depleted the funds in the past year. A motion was made, seconded and approved to allot 5% for administrative costs from this year's total. Meeting adjourned at 8:15 pm. rage 1 2
