Director; Ruth Urell, Library Director. Members - Not Present: Others Present: Minutes Respectfully Submitted By: Amy Lannon, Assistant Director Topics of Discussion: Remembrance and Thanks • The Board acknowledged the recent passing of Board of Library Trustee Chair, Richard H. Curtis. Members expressed their profound gratitude for his service and sadness at his passing. Approval of Minutes Motion: To approve Minutes of August 8, 2013 ( Cherrie Dubois /Alice Collins) • Vote: Unanimous approval. Reports Building Project Update (Ruth Urell) • Ms. Urell reported progress on finalizing the contract for the architects. The process is very positive and STV has been very responsive and helpful. • Continue to work on the Temporary Space proposals. • Ms. Urell recommended that the Board consider meeting with Foundation to discuss fundraising for costs not covered in the building program. The Board will invite representatives from the RPL Foundation to a future Trustee meeting. • Board members discussion plans for the treatment of gifts /donations from the current building, as well as plans for future gifts and donations. The Board will consider drafting a policy to address retention and preservation of gifts /donations for historic purposes. Additionally there will be a disposition plan for donated materials currently in the building, as well as donation and naming policy for the renovated building. • The library is reconsidering the value of an automated materials handling system and RFID tagging. • The Board discussed planning of public meetings for the Building Program. Page 1 1 2013 -09 -03 Town of Reading - Meeting Minutes New RPL Website (Amy Lannon) • Ms. Lannon gave an online tour of the new RPL website scheduled to go live just after the Columbus Day weekend. Directors Report (Ruth Urell) • Ms. Urell discussed the Town's 10 year capital plan and asked the Board to consider how the renovated building might change expectations and needs. • Foundation will hold a Donor Recognition event on November 15. • Trustees and senior staff all worked the Fall Street Faire. Feedback has been very positive. • 3 staff members will celebrate their 20 year anniversary this fall. The library has recently received two generous donations $1,000 from the Young Women's League of Reading and $3,500 from Inez K. Woodberry Trust of 2000. Ms. Urell reported that as part of a town -wide discussion of professional development, she and Amy Lannon drafted a plan and budget Friends will be closing the Book Sale room at the end of October for the duration of the Building Project. Trustees • The next meeting, October 21, 2013 at 7:00 pm, will be with Library Building Committee. • Mr. Hutchinson plans on presenting at both the 10/22 Selectman's meeting, as well as at the November Town Meeting for the Library Building Committee. • The issue of the position vacancy left by Richard Curtis was tabled for a future meeting.
