HomeMy WebLinkAbout2013-06-17 ad Hoc - Library Building Committee MinutesMinutes Library Building Committee Meeting Monday, June 17, 2013 Meeting called to order at 7 :04 p.m. in Reading Public Library Conference Room Present: David Hutchinson, Chair Rachel Baumgartner, Vice -Chair Cherrie Dubois, Secretary Karen Herrick Joe Huggins Bob LeLacheur Bob Newton Greg Stepler Nancy Twomey Ruth Urell Approval of Minutes STV (Owners Project Management Team) Paul Hemphill Jim Kolb Evan Warner • Motion: To approve Minutes of May 20, 2013 (Nancy Twomey / Rachel Baumgartner) • Vote: Unanimous approval. OPM Update (STT) Team members from the OPM presented plans and timeline for both the designer selection process and temporary space project. STV plans to have notice for designer selection RFQ completed in time to appear in Wednesday June 26 Central Register. STV will work with Ruth Urell to gather relevant documents, craft notice and make materials available locally as well as electronically. STV confirmed with Ruth Urell the project deadlines mandated by the state. The project must break ground within one year of signing the grant contract. Proposed Designer Selection Timeline: June 26, 2013: Central Register notice TBD: Building walkthrough July 18, 2013: Applications due (applications to be submitted directly to STV) July 19 -26, 2013: STV review applications and initial matrix development July 29- August 2, 2013: RPL working group additional reviews to select 4 -6 applicants for interviews. August 5 -9, 2013: Interviews The committee discussed working group to review designer applications. Working group members will include Cherrie Dubois, Joe Huggins, Bob Newton, Nancy Twomey and Ruth Urell. Temporary Space Project Time frame will overlap designer selection process and will begin in the next few weeks. STV reviewed the overall process, noting importance of Chapter 30B requirements. New Business Ruth Urell reported receiving a call from a concerned neighbor. In addition to the forthcoming press releases, the Building Committee plans to implement additional means of communication with both the neighborhood and general community to address concerns. STV will assist the Building Committee with assessing needs, planning and presenting related communications. 11 P a g e Ruth Urell also reported receiving one Freedom of Information Act (FOI) request related to the OPM selection process.
