Chair; Karyn Storti, Secretary; Vicki Yablonsky; Cherrie Dubois; Ruth Urell, Director Observers: Alice Collins; Andrew Grimes; Karen Herrick Meeting called to order 7:05 pm Minutes of the January 9, 2012 meeting approved unanimously (C. Dubois /V. Yablonsky) Financial Report/ Budget (R. Urell) The memorial bench collection in honor of Ted McIntire is almost completely funded; any excess funds will be put toward a memorial tree fund. The Library's budget will fully comply with the MBLC Municipal Appropriation Requirement (M.A.R.) for FY2013. C. Dubois, V. Yablonsky and R. Urell will attend the March 7'h FINCOM FY13 Budget Meeting at the RMLD. R. Urell corresponded with P. Hechenbleikner regarding plans for spending the library's State Aid budget as he had asked about it. The Library would like to use the funds to pay for a self - check circulation system, but because of space constraints and new software, would like to hold off the install. Trustee Liaison Reports Foundation (R. Curtis) Returns on the annual gift solicitation were in line with prior years. Friends (C. Dubois) House Tour is Sunday in May 6, 2012. C. Dubois and V. Yablonsky have visited the homes and they can't get over how beautiful the Cape style houses are. Director's Report A letter from the MBLC granting the library its M.A.R. waiver application arrived today. There are three communities that did not receive certification from the MBLC. The circulation department has been notified not to allow patrons from these communities to borrow materials. Reading, and other towns, has a no -loan rule against non - certified libraries. The migration to the new Evergreen system will go live on May 29`' and replace our current Millennium system. Noble is training three librarians per library in cataloging and customizing our system and these three RPL librarians will train our staff who will learn everything new all over again from statistics, checking materials, website and patron profiles. This changeover is Minutes of the Board of Library Trustees — February 13, 2012 huge and training sessions for all staff will occur in house and at Noble so they are comfortable with the new system when it goes online. Reference Librarian Nancy Aberman has announced plans for her retirement in July 2012, after twenty -eight years with the Reading Public Library. In addition to her Reference position, Nancy served as Acting Director and Assistant Director during her years with the library. The library has an intern from Simmons College, Kari Oanes, who is an advanced graduate student in the School of Library and Information Science. She'll be working at the library through the spring term, doing rotations and shadowing in all divisions in preparation for a future career in a public library. Building Program R. Urell, V. Yablonsky, Nancy Aberman and the architects met with MBLC staff to discuss the library's building grant. The grant reviewers noted some design concepts: (1) concern of the basement use (security and safety) and (2) increasing parking spaces. Timeline — The MBLC has given the eight libraries on the grant list an extension of six months until June, 2012 to get their town approval vote. A few of the libraries on the grant list have already voted and some were denied approval. Per discussion with P. Hechenbleikner, the library will ask for a meeting with Rob Maier of the MBLC to discuss steps to expedite Reading's receipt of grant funding. Trustee Items D. Hutchinson noted this is Karyn Storti's last meeting as a Library Trustee. Karyn has served for many terms and the Board of Trustees want to thank her for her dedication to the library. Karyn has served since 2002 and Karyn noted "the library has given more to Karyn Storti than Karyn Storti has given to the library." D. Hutchinson wished both Trustee candidates attending good luck in the upcoming election. Adjourn The motion to adjourn was made 8:18pm (K. Storti/C.
