New member Colleeen O'Shaughnessy introduced and membership needs explained. Action Plan: Disapproval letters and approval letters have been sent out. Annual report was submitted. Approval report was submitted 12/30 and is on MCCAS website. All monies are reimbursement only. News announcements need to be done next. Joan to write news announcement. Grant reception - This could be added to future news announcement. Will determine if we want to do this at our May meeting. Review of Town Website -links don't seem to work properly. We should talk to the Town webmaster about re -doing these links before next grant period. Review of our local guidelines - one of our guidelines is that we do not approve more than one grant per organization. This has not been strictly followed because of parity between different schools. Do we think of the High School as one or should we grant to different departments within the High School? Do we need to change our guidelines? We should probably add this item to a future agenda so that we can discuss it. Also, we need to review MCCAS guidelines before next meeting. Statewide assembly - deadline is this Friday to sign up. Our film will be shown and we will have access to use a resource table there. Secretaries Report: Minutes from December meeting edited and approved Treasurer's Report: Outstanding applications from last year will be paid in the next week. Total to be carried over into next year is $128.36. Report approved. Lorraine and Lynne to set up spreadsheet to help future Council members streamline 2013 approval process. Lynne Cassinari leaves room for the following discussion and vote: Old business - MCCAS says no gift can be given to Julia for her work on our video. Must be a stipend for hours worked. A motion is made and seconded to amend the vote from our October meeting to give Julia a gift. Instead we will pay Julia a stipend of $5.00 an hour for 10 hours work on the video. No discussion. Ammendment approved. Julia comes back in the room. Prospective members asked about work of the Council with limited funs and community fundraising. Also discussed was earlier public announcement about application process. 8:30 meeting adjorned. Respectfully submitted, Joan Marshman, Secretary
