Once again the meeting room was double booked, requiring us to find a new location. MEMBERS PRESENT — Vicky Schubert, Sudie Fay, Lorraine Horn, Peggy Caouette, Alice Armstrong, Lynne Cassinari, and Joan Marshman. MINUTES –.SF moved to accept the minutes of February 7, 2011 as amended. TREASURER'S REPORT –Old South ($295.76) and Victoria Smith, Creative Arts ($530) submitted for reimbursement leaving funds unspent for 2009 -2010 at $129.24. We have $70.76 left in what we allocated for administration. No one from the current grant cycle has put in for reimbursement. SF made a motion for PC to be Treasurer in Transition. Motion passed unanimously. SF moved that LH become Vice Treasurer in Transition effective immediately for the next calendar year. Motion passed unanimously. MEMBERSHW —We reviewed the absentee Code of Conduct. COMMUNITY INPUT SURVEY —VS reported that after speaking to Liz Whitelam, the old survey results can't be located. She determined that the old results may not be significant for our present survey, and that we should just proceed. SF brought up that the virtual town hall can create a survey. It is not difficult at all Bill Connors and Bob LeLacheur create web material for the town. VS shared that Bob is the "go to" guy. We should decide on 10 questions. Software can pull in responses and generate a report. GRANTEE RECOGNITION EVENT OR PROCESS – Video interview questions were discussed. Julia Finlayson, an RMHS high school student, is interested in helping with the technical support of creating these video spots. It was determined that VS and PC would start the first video project by interviewing Victoria Smith from Creative Arts. VS shared that she was inclined to hold a small reception for the grantees this spring. The committee agreed. NEXT MEETING - -The next meet is scheduled for March 14, 2011. Meeting adjourned at 8:44. Respectfully submitted, Lynne Cassinari Suggested changes for the next time: 1. Improve sound. Use a remote microphone if possible or at the very least request that the person interviewed speak louder. Make sure that the person doesn't drop off volume as they near the end of their statement. 2. Make certain that only one person is talking at a time. 3. If there are items (like the clay pieces) it would work better if still shots were taken of each piece. If you want a panning shot, a tripod would improve the quality of the shot. 4. Use a tripod for most shots or at least have one on hand when it makes sense to use it. 5. Provide full name and affiliation of the interviewee with proper spelling.
