READING HOUSING AUTHORITY <br />' MINUTES OF THE Regular BOARD MEETING, October L 2012 <br />A regular business meeting of the Reading Housing Authority was held on Monday, October I, 2012 at <br />5:30 P.M at the office of the Reading Housing Authority the town of Reading, Mass. The meeting was <br />called to order at 5:37 P.M. with the Chair, Kevin Mulvey presiding. Those members present and <br />forming a quorum were Diane Cohen, Timothy J. Kelley, Mary Connors and Karen L. Flammia well as <br />the Secretary/Executive Director, Lyn Whyte. <br />Minutes Move Mary Second Diane Vote 5-0 <br />13 -019 VOTED: To accept for the record the Minutes of the Annual Business Meeting of September 10, 2012, as <br />presented. <br />Finances Move Mary Second Tim Vote 5 -0 <br />13-020 VOTED: To approve and sign the checkrolVbilholl for the period for Accounts Payable Check #4229 -4278 <br />Payroll Summary as presented for September, 2012. Section 8 Voucher Program, #7473 -7559 as presented. <br />Finances Move Diane Second Karen Vote 5-0 <br />13-021 VOTED: To certify receipt of monthly operating statements for all RHA programs for the month end August, <br />2012 of the current fiscal year. <br />Personnel Matters: <br />' - Office hours for upcoming holidays was discussed with the Board. In November, the Veterans Day <br />holiday will be recognized on Monday, 11/12/12. For the Christmas and New Year holiday weeks, the <br />RHA will be closed on both the Monday and Tuesday of each holiday week; namely, 1224 & 12/25, <br />12/31 & 01/01/13. Notices will be posted in advance. On call coverage will be available during this <br />time. <br />Renort of Proerams: <br />- Vacancy Report- Mitch Hudzik, State Program Coordinator provided her monthly report. . <br />- Sec 8 Report- No official report submitted this month. Director informed Board that RHA had 124 <br />vouchers leased for September with two vouchers still out. Staff are keeping close eye on funding <br />amounts each month in order to meet HAP obligations. <br />- Resident Service Coordinator- Current Tannerville Newsletter provided. <br />New Business: <br />RHA submitted request for reimbursement on 926/12 in the amount of $19,570.79 to DHCD for the <br />siding project at Bancroft Avenue. <br />- DHCD approved request for payment for roofing project at Oakland/Waverly development in the <br />amount of $18,747.63 and funds will be transferred electronically on 10/08/12. <br />- BHA is gathering documentation on completed kitchen project at Oakland/Waverly development. <br />Request for reimbursement will be submitted accordingly. <br />- Proposed budget items for FY2013 were discussed with Board for consideration. RHA has restricted <br />t reserves for approximately $55,000 that should be expended in a timely fashion. The Executive <br />Director proposed four potential projects for use of those funds; 1) rehab of 19 Pleasant Street, <br />approximate cost of $17,000, 2) elderly entryways so as to have easy handicap access, $9,750, 3) tree <br />removal and pruning at elderly development and Oakland/Waverly family development, $7,400, 4) roof <br />at Pleasant Street family building, $7,900. Expected use of these funds could total $42,050 with a <br />balance of approximately $12,950 left to utilize. BHA Board did acknowledge these projects as a good <br />use of funds and gave the Executive Director to proceed as need be. BHA fee accountants will be <br />
